Description of Job

This is a full-time, fully operational position scheduled to work 40 hours per week on an academic-year schedule (August to June) within Nutrition Services. The purpose of the Food Service Department at CSDB is to prepare and serve nutritious meals that comply with Federal and State laws/regulations pertaining to a food service operation, as well as the guidelines outlined in the National School Lunch Act. The goal of the Food Service Department is to recognize the individual food preference and ethnic backgrounds of our students and make every effort to provide diversity in menu planning. The Food Service Department accommodates special dietary needs and requests when possible and includes food for meetings, student activities, and special functions on campus.

This position is responsible for providing a variety of administrative support duties for the Food Service Department, which includes laundry support. This position is responsible for performing the POS (point of sale} meal counts for breakfast and lunch. This includes scanning the student names for verification and ensuring students have the required meal components for a reimbursable breakfast and lunch.

Administrative Support for the Food Service Department:

  • Performs a wide variety of related duties in support of position.

  • Maintains a cohesive environment to ensure the smooth and efficient operation of meals served.

  • Acts as a resource to provide guidance and redirection for the Dining Service I position.

  • Coordinates with Food Service Manager to ensure the recipe books are maintained and up-to-date pertaining to recipe details and order of books.

  • Ensures the department food order guides and food inventory guides are maintained accurately and up to update.

  • Types the monthly school menus in an accessible format for the Blind School. Posts monthly school menus, including accessible menus on the school website.

  • Files and organizes paperwork in a timely manner as established by the Food Service Manager.

  • Provides mini training (i.e., reimbursable meal requirements and operating procedures) for the staff using established references by the Food Service Manager.

  • All other related duties as assigned.

Point of Sale (POS) Meal Counts for Reimbursable Meals:

  • Performs POS duties for breakfast.

  • Performs POS duties for lunch.

  • Monitors the POS system, ensures the laptop and scanner are working properly.

  • Writes the daily menu choices on the learning boards, specifying the food categories.

  • Maintain a weekly log of student names who did not have ID cards and provide a copy to the Food Service Manager.

  • Works closely with staff to ensure students get the assistance they need during mealtimes.

  • Follows up with Food Service Manager and IT/Accounting support staff regarding POS issues.

  • Contact the parents weekly to inform them of their student’s meal balance, follow-up as needed.

  • Ensures the Dining Service I staff follow timelines and duty descriptions during mealtimes. Redirects or delegates as needed.

Manage the Laundry services:

  • Follows the process in place to wash the weekly linen from the kitchen, facilities, blind school sensory department, athletic uniforms, pre-school costumes and health center.

  • Collects and washes the year end laundry from the dorms, wash and organize clean linen for pick-up at the start of the school year.

  • Sets up VIP rooms for guests and collects the dirty linen when the guests leave.

  • Maintains required paperwork.

  • Ensures clean laundry is stored properly, in an organized manner.

  • Works with an outside contractor to wash specified linen if needed.

  • Reports equipment problems to the Food Service Manager.

  • Follows appropriate sanitary standards.

  • Maintains a log of the linen issued to each dorm at the beginning of the school year, and ensure the same amount is returned at the end of the school year.

  • Organizes and maintains the linen storage room, ensuring security and inventory.

Additional Responsibilities Include:

  • Maintaining the Department’s Free and Reduced program, the applicant will receive and process free/reduced meal applications, and determine student eligibility within established guidelines. Applicant will perform the Direct Certification process within established guidelines. Applicant will ensure all requirements regarding the student’s meal eligibility are met and maintain required information both electronically and filed to ensure compliance.

  • Organize and coordinate point-of sale activities and operations, to include required edit checks to ensure students are categorized correctly.

  • Seeking a highly organized and detail-oriented Administrative Assistant to provide essential support to the Nutrition Service Team. The candidate will have excellent communication skills, the ability to prioritize tasks, meet required deadlines, works well with others, serve as a resource person for the assigned support staff, a positive approach to problem solving, and the ability to communicate in a positive and supportive manner.

MINIMUM QUALIFICATIONS:

Experience Only:

Two (2) full years of general clerical experience working in a school / residential / hospital / institutional / commercial setting . NOTE: One (1) full year of experience is equivalent to 2,080 hours. All experience must be described in detail on your (online) application to receive credit.

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years

Conditions of Employment

  • This Administrative Assistant position at CSDB is non-exempt, and the employee selected is eligible to receive overtime pay, with a condition of employment that overtime work must be appropriately authorized in advance and may be paid in compensatory time in lieu of cash payment.

  • Ability to lift 20-50 pounds.

  • Must have the ability to work with a diverse workforce and provide assistance and training in a positive, effective, and supportive manner.

  • The Position is a .78 FTE and works a school year calendar.
