Job Summary:

This position uses some subject-matter knowledge and judgment to complete assignments consisting of numerous steps varying in nature and sequence. The General Clerk III selects from alternative methods and refers problems not solvable by adapting or interpreting substantive guides, manuals, or procedures. Typical duties include: assisting in a variety of administrative matters; maintaining a wide variety of financial or other records (stored both manually and electronically); verifying statistical reports for accuracy and completeness; compiling information; and handling and adjusting complaints. The General Clerk III may also direct lower level clerks. Positions above level IV are excluded. Such positions (which may include supervisory responsibility over lower level clerks) require workers to use a thorough knowledge of an office's work and routine to: 1) choose among widely varying methods and procedures to process complex transactions; and 2) select or devise steps necessary to complete assignments. Typical jobs covered by this exclusion include administrative assistants, clerical supervisors, and office managers.

Responsibilities

Job Responsibilities:

  • Responsible for office operations. Provide customer service and assist employees with minor administrative problems. Responsible for assisting the Manager in scheduling required training and maintaining training records. Ensure all office supplies are requested and tracked.

  • Order, maintain control of and be responsible for maintenance of necessary quantities of transportation regulatory forms, DA forms, DD forms, Fort Carson forms, accountable forms and documents, nonstandard forms, placards and labels and supplies to support the transportation work requirements. Operate automated system (Microsoft Office) that records all pertinent information on Transportation and departmental personnel documentation transactions.

  • Create and respond to correspondence addressed to the Government and requests for data including, but not limited to form letters; messages; endorsements; requests for information from carriers and shippers.

  • Consolidate and maintain files and documentation IAW with AR 25-400-2. Maintain all office records and statistical data for monthly, quarterly, semi-annual, and annual reports and reviews.

  • Gather, bundle, and transport outgoing and incoming mail to and from Bldg. 330, Bldg. 749 and Bldg. 8012.

  • Functionally operate all automated desk top software applicable to the position and tasks. Researches and provides electronic statistical data bases for the Transportation Manager and TMP Supervisor.

  • Answer telephone calls; take messages and forward customers to appropriate sections for service. Assist with Shuttle Bus calls and dispatching to pick up locations.

  • Provide physical customer service and information to requesting military, government, and civilian personnel. Utilize transportation subject matter knowledge and judgment while interacting with customers.

  • Serves as the TMP control and scheduling clerk, as well as the Department’s Local Purchase Clerk.

  • Performs other duties as assigned.

Qualifications

Minimum Qualifications:

  • High School graduate or equivalent. Knowledge of automated data systems and automated data system input required. Requires a thorough knowledge of an office's work and routine. Must be able to choose among widely varying methods and procedures to process complex transactions; select or devise steps necessary to complete assignments.

  • Two years administrative experience with some knowledge of military operations (will train) and schedules.

  • Must have good oral and written communication skills as well as possess a good working knowledge of other office systems and programs.

  • Must possess and continuously maintain a current State of Colorado Driver’s License prior to starting or by 30 days after employment.

Physical Demands & Work Environment:

  • Work is generally conducted in an office environment. However, duties may involve the conduct of work in through the warehouse, prolonged sitting.

  • Computer equipment, various software programs, fax, copier and telephones.
