The AACSB International accredited College of Business enrolls approximately 2,000 students annually. Salary/Pay Range : $44,946 - $57,995 annually. Compensation will be commensurate upon experience and qualifications. This position is Exempt from the Fair Labor Standards Act (FLSA) overtime provisions.

Work Location: This position is currently scheduled to work on campus three (3) days per week.

Summary

The Program Specialist for the College of Business (COB) provides administrative and operational support to the COB operations which includes the faculty, staff, and student employees. This position manages and coordinates the internal functioning of the COB Support Center located in the Dean's suite. This position is responsible for student employee management including hiring, payroll, evaluations, and termination; COB and grant procurement; facility management; travel and expense processing; and administering a variety of projects and COB activities. This position is the back up to the Dean's Executive Assistant. Other duties as assigned.

Essential Functions

The duties and responsibilities of the position include, but are not limited to:

Student Employee Liaison (50%)

  • Recruits and hires student employees to include, posting positions, processing new employment paperwork, onboarding/offboarding, and other related items for all COB departments.

  • Coordinates student employment actions, to include preparation of required student employment forms for hiring, evaluations, wage changes, and terminations.

  • Processes bi-weekly payroll for student employees.

  • Maintains student employee job descriptions and compensation plan files.

  • Creates new compensation plans for approval by the Finance Program Manager.

  • Serves as the liaison between the COB and UCCS Student Employment.

  • Assists the UCCS Student Employment office with the annual student employment audit.

  • Records and tracks Teaching Assistant (TA) hours for each faculty in a spreadsheet.

Procurement and Travel Support (35%)

  • Orders and maintains inventory of general office supplies.

  • Processes Payment Vouchers, Purchase Orders, Scopes of Work, and Procurement card transactions for COB and grant purposes.

  • Makes purchases for faculty and staff from their ledgers.

  • Tracks faculty and staff ledger expenditures in supporting excel ledger files.

  • Processes travel authorizations, communicates travel policies, and prepares travel reimbursement requests in the Concur Expense System.

  • Prepares non-travel reimbursement requests on behalf of staff and faculty in the Concur Expense System.

  • Creates and tracks invoices for COB to ensure processing and payment.

  • Provide support to Daniel's Fund, Economic Forum, and Executive Education through:

  • Invoicing.

  • Processing travel authorizations for staff, faculty and student employees.

  • Procurement.

  • Arranging group travel and processing travel reimbursements for speakers, faculty, and students.

  • Assisting the Financial Program Manager with individual program budgets, including projections, cost estimation, and budget-to-actual tracking.

Facility Management & COB Operations (15%)

  • Assists with the onboarding of new faculty and staff to include assigning mailboxes; issuing keys; and ordering nametags and business cards.

  • Coordinates office equipment maintenance and recycling objectives.

  • Orders, issues, and tracks building keys.

  • Re-keys offices as needed. Submits work order requests for COB office moves, building maintenance and repairs. Tracks and follows-up on completion of orders.

Tentative Search Timeline

Qualifications

Minimum Qualifications

Applicants must meet minimum qualifications at the time of hire.

  • Completed Bachelor's degree from a regionally accredited institution AND 2 (two) years of full-time equivalent administrative and/or purchasing/procurement experience. OR

  • At least six (6) years of full-time equivalent administrative or purchasing/procurement experience.

Preferred Qualifications

  • Experience working with faculty, staff, and students in a traditional university setting.

  • Experience with campus information systems and reporting tools (e.g. PeopleSoft, Concur Travel & Expense System).

  • Experience in human resources.

Physical Requirements

  • While performing the duties of this job, the employee is frequently required to sit.

  • Employee is occasionally required to stand and walk.

  • Tasks may involve using a computer screen continuously for long periods of time.

  • Ability to type on a keyboard and use a mouse continuously for long periods of time.

  • The employee must occasionally lift and/or move up to 20 pounds.
