The position Accounting Coordinator is responsible to Supervise payroll functions, accounting, reporting, and software systems. This position is also responsible for the Grant Accounting: Oversee recording, reconciliation and reporting of general grant accounting according to established accounting procedures and practices.

There will be occasional meetings at different CCC locations and in the community may be required; travel to conferences and/or recruiting events may be required. Incumbent must be physically able to operate a variety of types of office and other equipment including computer, copier, and audio-visual equipment. This position requires work in office (both physical and virtual) settings. Incu mbent must perform the essential duties and responsibilities with or without reasonable accommodation.

Essential Functions

Payroll 50%

  • Supervise one full-time employee; may also supervise part-time employees, as needed

  • Supervise payroll and accounting processing; adhere to strict guidelines and a strict schedule to ensure proper and accurate processing of bi-weekly payroll

  • Administer legally defined payroll policies and procedures as determined by DOL state/federal government, retirement system, SUNY, collective bargaining agreements, etc.; and ensure compliance with same

  • Implement payroll regulatory changes; collaborate with the Human Resources Department to develop and implement procedures to promote efficiency and compliance with regulatory changes

  • Oversee preparation of all required payroll reports

  • Respond to difficult requests for information and assist with researching information and problems related to policies, procedures, and payroll calculations

Grant Accounting 35%

  • Pre-award Proposal - Participate in developing budgets

  • Provides program oversight to ensure compliance with grant requirements.

  • Monitors compliance with guidelines from awarding agencies and maintains familiarity with terms and conditions associated with grants and awards

  • Supports monitoring, tracking, and interpreting fiscal records for a portfolio of accounts including payroll records, purchasing, travel, and other disbursements to maintain compliance with grant policies

  • Communicates financial information regarding grant accounts to Principal Investigator (PI), including remaining balances, anticipated payroll expenses, and incoming aid. Analyzes and verifies transactions related to grants and contracts accounts such as invoices, travel, reimbursements, and requisitions

  • Maintains internal records of grant applications and information, including budget details, invoices, correspondences, submitted applications, budget justifications, etc. Meets with Principal Investigator (PI), to explain services, communicate financial information, and assist with accounts as needed

  • Maintains internal grant management database with grant submissions and related account information

  • Assist PI's in reconciliation, reporting, and completing close-out procedures on grants

Systems 10%

  • Oversee maintenance and updates of finance and payroll systems software, including tables for tax withholdings, retirement contributions, garnishments, employee benefits, and other deductions

Other 5%

  • Evaluate departmental operations/activities and recommend improvements/modifications

Perform other related duties, as assigned

Required Knowledge, Skills, and Abilities

  • Knowledge of payroll systems, preferably Banner

  • Advanced knowledge of generally accepted accounting principles, fund and grant accounting

  • Excellent organizational, analytical, interpersonal communication, and writing skills

  • Demonstrated proficiency in the use of personal computers and spreadsheet software with the ability to produce complex financial analyses and reports

  • Ability to establish and maintain effective working relationships

  • Ability to maintain confidential information

  • Ability to work independently and exercise discretion and good judgment

  • Demonstrates commitment to accomplishing work in an ethical, efficient, and cost-effective manner

  • Ability to effectively convey information verbally and in writing, demonstrate effective listening skills, and display respect for and openness to other people's ideas and thoughts

  • Ability to accept changes to job requirements, policies, workload, etc., as well as learn new methods, procedures, or techniques resulting from change with the ability to clearly approach problems and find solutions

  • Possession of valid driver's license for travel to off-campus sites

  • Demonstrates support for the College's goal of becoming a more diverse, inclusive, and culturally aware community and practicing anti-racist/biased behaviors

Minimum Qualifications

  • Bachelor's degree in accounting, business administration or a related field

  • Three years of work experience in accounting or payroll

  • Supervisory experience preferred

Preferred Qualification:

  • Five years of work experience in accounting or payroll

  • Experience in higher education, governmental, or not-for profit finance

  • Banner experience preferred

Starting pay for the successful applicant is dependent on a variety of job-related factors, including, but not limited to relevant experience, education, market demands, and training.
