Role Overview:

Items that you will be responsible for as a Facilities Manager are listed below.

Maintenance and Repair: Ensure all building systems are functioning efficiently, including HVAC, plumbing, electrical, and security systems.

Health and Safety: Ensure compliance with health, safety, and environmental regulations.

Vendor and Contractor Management: Negotiate contracts and manage relationships with suppliers, contractors, and service providers.

Budgeting and Cost Control: Forecast and manage the facilities budget and track expenses to look for opportunities to reduce costs.

Environmental and Sustainability Initiatives: Implement energy-saving and sustainability initiatives and monitor energy consumption and introduce efficiency improvements.

Security and Access Control: Ensure the building's security systems are functioning and manage access control systems.

Cleaning and Waste Management: Manage janitorial services and ensure cleanliness standards are maintained.

Inventory and Supplies Management: Monitor and control the inventory of supplies and equipment as well as timely ordering and replenishment of essential items.

Salary:

This position traditionally starts at an annual salary of $59,800.00. Salary for this position may be commensurate with education and job experience.

Location:

This position is located in INDOT’s Crawfordsville District.

A Day in the Life:

The essential elements of the job duties:

  • Plan and/or delegate the short-term daily and weekly work schedules based on priorities and deadlines within established goals and objectives, project planning is normally for one to two years while capital planning is often done for a two - five-year period.

  • Manage all maintenance-related and capital improvement activities within assigned facilities and grounds.

  • Establish schedules and method for providing facility and maintenance services, identify resource needs and allocate resources accordingly.

  • Assign and delegate work to subordinates, spot checking routine work and reviewing more complex or unusual projects.

  • Maintain operational systems for monitoring and tracking work orders, preventative maintenance logs, safety reports, etc.

  • Ensure all federal, state, and local rules, regulations, and standard trade practices related to quality standards are adhered to during the course of work activities; Make recommendations for changes and improvements to existing standards, policies and procedures.

  • Regularly inspect property for safety and security concerns and ensure staff correctly wears and uses safety equipment and investigates accidents.

  • Forecast and prepare maintenance operating budgets, ensures compliance with established budgetary parameters.

  • Order, prepare specifications, and purchase supplies, equipment and contract work according to required purchasing and bidding procedures.

  • Recruit, select, onboard, and train employees to ensure role responsibilities and expectations are clearly understood while providing opportunities to continue professional development.

  • Set expectations, measure progress, provide ongoing feedback, and evaluate the performance of employees. Ensure work adheres to quality standards, deadlines, and proper procedures.

What You'll Need for Success:

You must meet the following requirements to be considered for employment:

  • High School Diploma or High School Equivalent (HSE).

  • Five (5) years’ experience in maintenance, construction, or related experience; Minimum two (2) years’ experience supervisory experience in these areas.

  • 3-5 years of experience in facilities management or a similar role.

  • Strong knowledge of building systems (HVAC, electrical, plumbing).

  • Experience in budgeting, cost control, and contract negotiation.

  • Be willing to travel with reasonable accommodation.

  • Advanced knowledge of variety of trades related to installation, inspection, repair and maintenance of electrical, plumbing, and other related systems in all facility locations.

  • Advanced knowledge of the tools, methods, practices, materials, and equipment used in the building and mechanical trades.

  • Thorough knowledge of occupational hazards and corresponding safety precautions necessary for the safe performance of assigned duties.

  • Thorough knowledge of and ability to understand and interpret detailed plans and specifications.

  • Ability to make long-range plans, schedule preventative maintenance, and seasonal maintenance as well as prioritize routine and emergency repairs.

  • Estimate repair and construction project costs.

  • Ability to lead a multi-discipline team both as supervisor and in a technical capacity.

  • Interpret and explain pertinent department policies and procedures.

  • Ability to delegate work, set clear direction, and manage workflow.

  • Ability to effectively give feedback, provide guidance or corrective action, coach, and develop employee skillsets.

Supervisory Responsibilities/Direct Reports:

This role may provide direct supervision for one or more staff members.
