Position Overview The Executive Assistant will be highly motivated and proactive in providing comprehensive support to the Chief Executive Officer and executive leadership team. This candidate will take the initiative in completing various duties to include maintaining executive schedules, producing executive level correspondence, create presentations, event planning, meeting coordination, grants management, and assisting with audits. The ideal candidate will possess exceptional communication and interpersonal skills; and the ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain professionalism while handling sensitive information and coordinating various ongoing projects. General Responsibilities • Provide assistance to executives, ensuring their daily administration operations run smoothly. • Manage and maintain executive schedules, including Outlook Calendar appointments and meetings. • Drafts and prepares correspondence for internal announcements, board meetings, and organizations that the executive team is involved with. • Utilize various applications for grant data entry, monthly credit card reconciliation and vendor contract maintenance. • Plan and organize annual employee events, conference reservations, in-person and virtual meetings for Board of Directors, managers and various committees. • Completes annual renewals of organization insurance, provider malpractice insurance, terminal distributors license for pharmacy and BMV license. • Maintain organized files and documentation to ensure easy access to important information. • Oversee office management tasks, ensuring that the administration department is efficient and well supplied. • Additional duties as assigned. Qualifications • High school diploma or GED required. • Associate's degree in healthcare or business field preferred. • 5+ years administration experience preferred. • 5+ years Windows-based computer experience preferred. • Proficiency in Microsoft Office suite. • Excellent verbal and written communication skills
