Senior Administrative Support Job Locations US-OH-Dayton ID 2024-5492 Category Administrative/Clerical Type Full Time Hours/Week 40 Location : Name Wright Patterson AFB Position Summary Odyssey Systems has an exciting new opportunity for a Sr. Administrative Support position supporting the ISR/SOF Divisions, which consists of a diverse set of programs with equally diverse missions to meet a common goal: provide our warfighters with the best weapon systems possible in the most efficient and timely manner. Responsibilities Duties include, but not limited to: Maintain calendars for key personnel and conference rooms, resolving schedule conflicts and disseminating all changes. Receive incoming phone calls, routing to the appropriate party, or documenting for further action. Serve as the timekeeper for Government civilian personnel maintaining documentation by using the Automated Time Attendance and Production System (ATAAPS). In-process and out-process all personnel (Government and contractors). Shall input information required into Government databases, develop and maintain a welcome packet, and arrange seating, computer, and phone support as necessary. Coordinate arrangements, agendas, and briefing materials and record/track program action items and suspenses for events such as meetings, reviews, working groups, and audits. For these events, coordinate with functional managers, outside agencies, contractor personnel, and the program office customers. Assist with the establishment and maintenance of official file plans with the use of the Electronic Records Management System (ERM). Assist in preparing Continental United States (CONUS) and Outside the Continental United States (OCONUS) travel arrangements and travel vouchers using DTS in accordance with the Joint Travel Regulations (JTR) and the Joint Forces Travel Regulations (JFTR). Assist with the ordering of office supplies and with maintaining an inventory of stock, gather requests for supplies, and prepare and itemize various lists for supplies/equipment. Shall recommend items to be ordered/purchased and assist with the delivery. Collect and prepare materials for staff meetings as required. Provide support to the Video Teleconferencing (VTC) manager. Assist with VTC bridge scheduling processes, and shall coordinate VTC connectivity and interface requirements/issues with the VTC maintenance contractor. Retrieve data/information from program databases in the form of queries and reports as required. Facilitate the use of standardized automated forms such as travel orders, performance reports, military and civilian awards and decorations, materials procurement, maintenance and disposition, as well as other periodic or ad hoc reports. Assist with the creation and maintenance of an emergency accountability folder to be used for base exercises and real-world situations. Shall assist with the creation and maintenance of recall, phone, and accountability rosters, both electronically and physically. Exercise discretion and independent judgment by frequently producing office work on matters specifically related to the office business operations by directly performing tasks that support the Chief Administrator for the Division Chief and Deputy (Colonel and GS-15 level). Provide direct support to senior military and civilians by producing executive-level correspondence relating directly to business operations which are of significant importance to the acquisition of major weapon systems.
