POSITION: Business Office Assistant

The Business Office Assistant is a versatile and essential position responsible for managing accounts payable, payroll, and human resources processes. This role ensures the accuracy and integrity of financial operations while providing exceptional support to employees, students, and vendors. The Business Office Assistant reports to college administrators and plays a key role in maintaining compliance with accrediting agencies and promoting operational efficiency.

DUTIES: * Maintain Purchase Order processing: Analyze invoice/expense reports with department budgets, record entries to pay bills, and charge expenses to accounts and cost centers. * Monitor discount opportunities, verify federal ID numbers, and resolve discrepancies in purchase orders, contracts, invoices, or payments. * Ensure credits are received for outstanding memos and issue stop payments or purchase order amendments as necessary. * Verify vendor accounts by reconciling monthly statements and related transactions. * Pay employees by receiving and verifying expense reports and advance requests. * Report sales taxes by calculating requirements on paid invoices. * Reconcile accounts in the POS, cash drawer, and cash box. * Process new payroll packets and monthly timesheets. * Enter contracts and new employee data into Infinite Visions. * Manage the onboarding process for new employees, including processing paperwork and communicating HR benefits. * Assist employees with HR-related processes, benefits enrollment, and ongoing questions.

REQUIREMENTS: * High school diploma or GED required. * Previous experience in accounts payable, payroll, or human resources.

PREFERRED SKILLS: * A degree or certification in bookkeeping, accounting, or a related field is preferred * Strong accounting background and familiarity with QuickBooks or similar accounting software. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database systems. * Excellent verbal and written communication skills. * Ability to manage confidential information with professionalism and discretion. * Strong math skills, attention to detail, and organizational abilities. * Experience with Infinite Visions software is a plus.

WAGE: $17.53 - $23.67/ Hour

BENEFITS: Comprehensive benefits package and retirement contributions.

SHIFTS: Full- 40 hours per week
