ABOUT THE WORK UNIT

The mission of the Colorado State Patrol is to ensure a safe and secure environment for all persons by utilizing the strengths of its members and providing professional law enforcement services that reflect honor, duty, and respect. Through high visibility, strict enforcement, maximum resource deployment, and community education, the CSP promotes safety, protects lives, and preserves state highways.

ABOUT THE JOB

The Program Assistant provides professional administrative support to the Executive Security Branch and may include management of multiple budgets, procurement management, grant management, multi-agency task force overtime and overtime tracking, inventory management. They function as the officer manager; working independently with minimal supervision. Develops internal processes, internal planning documents and supports the internal operations where needed. May assign tasks, monitor progress and workflow, check work products and establish business unit work standards. Provides program support as needed to all business units within the work unit.

KEY RESPONSIBILITIES

  • Manage the Colorado Automotive Reporting System (CARS) and Colorado Operations Resource Engineer (CORE) database.

  • Establish internal and external work-flow processes.

  • Provide program support for troop and district commanders as needed.

  • Receive and screen incoming calls and visitors, determine which are priority matters, and alert the Commander accordingly. Make referrals to appropriate staff or provides requested information.

  • Reconcile expenditures monthly and keeps section commander informed of budgetary issues.

  • Manage and reconcile the petty cash account, if applicable, and requests for reimbursements and end of year accounting of funds.

  • Ensure the proper use of any state-issued credit card (Pro-card) and respond to audit request from the Commercial Card Group.

  • Develop workflow processes for business unit effectiveness and efficiency.

  • Fulfill information requests from internal stakeholders.

  • Safeguard the integrity of the individual section files.

  • Plan and coordinate arrangements for professional training and/or conferences.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

MINIMUM QUALIFICATIONS

Option 1

  • Four years of professional experience in program support and office management.

CONDITIONS OF EMPLOYMENT

  • Requires successful completion of a background investigation that includes a polygraph exam, drug test and background investigation.

  • Must be Colorado resident at the time of application.

WORK ENVIRONMENT

  • Primarily 8:00 am – 5:00 pm work hours, Monday-Friday

  • Approximately 100% spent in the office

  • This position is located in downtown Denver. We will provide information on affordable parking options.

  • Budget experience

  • Experience with Microsoft Suite (Word, PowerPoint, Excel, Outlook, Publisher and Access).
