Position Title: Executive Assistant to the Deputy Chief of Staff
FLSA Status: Exempt
Organizational Relationships: This position reports to the Deputy Chief of Staff and is part of the Governor’s Office. This position does not have supervisory responsibility.
Expected Annual Travel: None
Department: Chief of Staff
Summary of Functions : This position is responsible for administrative support, special projects and event coordination for the Deputy Chief of Staff. Duties include but are not limited to: scheduling appointments, meetings and events for Deputy Chief of Staff; assisting in daily responsibilities, fielding and directing inquiries, creating briefing material, organizing and tracking paperwork and travel authorization forms, coordinating both domestic and international travel, and acting as a liaison between departments, assisting with some management and daily operations at the Governor’s Mansion, and helping with special projects. The Deputy Chief of Staff is responsible for all internal operations within the Governor’s Office including internal office processes and systems, accounting and budgeting, community engagement, correspondence and constituent services, front office operations, scheduling and the management of Governor’s Residence.
Essential Duties and Responsibilities:
Scheduling appointments/meetings/events/travel details for the Deputy Chief of Staff
Assisting Deputy Chief of Staff in daily responsibilities and projects
Organizing and tracking digital files and shared drives, specifically travel requests and budget approvals coming through the Governor's Office
Assisting in planning and coordinating all internal events at the Governor’s Residence, including strategic retreats and the annual holiday parties
Assisting with daily operations and management of the Governor’s Residence
Assist with DCOS on maintenance and restoration projects that may arise within Capitol Complex
Ensures accessibility of all external disseminated documents or website postings
Spearhead Governor’s Office employee engagement
Special projects as needed
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Minimum Qualifications:
Two years of relevant work experience
Required Competencies:
Exceptional organizational skills
Excellent customer service and interpersonal skills
Ability to maintain discretion regarding confidential information
Ability to multi task and juggle multiple competing interests at once
Preferred Competencies:
Experience in events management and execution
Experience with scheduling and calendar management
Conditions of Employment: Applicants must pass a thorough background check prior to employment and reside in Colorado once employed.
