Griffin Health Physical Medicine Office Manager in Derby, Connecticut

MAIN FUNCTION: Provides management of the daily operations of the Rehabilitation Services Department. Responsibilities include coordinating schedules, overseeing operational processes, management of insurance issues, involvement in marketing initiatives, and direct supervision and mentoring of support staff. Performs clerical tasks related to the Department’s operation. Reviews weekly payroll and assists with ordering department supplies. Manages the reception and appointments of patients and the insurance verification for outpatient services.

ESSENTIAL RESPONSIBILITIES & DUTIES:

  • Oversee and assist Rehabilitation Services Director/Manager with overseeing daily operations of the Rehabilitation Services Department, overseeing support staff in 3 outpatient locations in Derby, Oxford and Shelton.

  • Monitors referral process management, staff scheduling, team meetings and assist with inventory management of clinical and administrative supplies and equipment.

  • Maintain a working relationship with referrals sources and be point of contact for Griffin Hospital/ED/discharges to out-patient services and GFP referrals, decreasing wait times and maximizing inter-departmental referrals processes.

  • Optimize referrals from GFP/ED/Griffin hospital D/C and inter department referrals

  • Assist with staff scheduling, vacation requests, team/departmental meetings

  • Reduce errors in scheduling and last minute changes to optimize visit volume

  • Responsible for on-boarding and training and mentoring of staff regarding new policy, EMR integration, new service line offerings, billing/documentation and insurance requirements. Oversees ongoing staff education /updates on insurance requirements and billing audits to reduce visit and insurance denials.

  • Supervise other support staff members and provide direction on workflow and patient throughput

  • Perform annual performance appraisal and reviews of assigned staff

  • Coordinates and oversees operational process management of insurances and evaluates and implements cost containment and revenue enhancement opportunities.

  • Assists with monthly reports to track and monitor key performance factors, productivity, cx/ns, and referral trends to assist in marketing initiative.

  • Work on identification and reduction of denial’s/denial management

  • As needed assist AVP/Director/Manager in Administrative Assistant duties

EDUCATION: High school diploma and knowledge of medical terminology required.

EXPERIENCE: Medical Office experience required with 2 or more years of experience in handling insurance authorizations. Experience with EMRs, Microsoft Office/Excel/PowerPoint required.
