Job Description

We are seeking a highly qualified candidate to serve as the Department’s Bureau of Accounting Administrative Assistant. In this integral role, you will be at the heart of coordinating financial processes for travel and assisting the Bureau of Accounting.

Your Responsibilities:

  • This position serves as the Department’s Out-of-State Travel Coordinator. Duties include developing and maintaining training material and procedures; providing travel training; working with employees and contractors on travel and reimbursement requests; obtaining appropriate travel approvals; and booking airfare and registrations.

  • Process travel and reimbursement requests per Department policies and state accounting rules and policies.

  • Serve as first level approver for payment and receipt documents.

  • Manage Department memberships.

  • Set up and maintain vendors in the state accounting system.

  • Serve as a back-up pre-auditor for in-state travel expense claims by reviewing claims for compliance with accounting policies.

  • Provide administrative support to the Bureau of Accounting. Assist with tracking projects, developing and maintaining process mapping, and support process improvement initiatives.

Hours: 8:00 A.M. – 4:30 P.M., Monday – Friday; This position will work from the Grimes Office Building 5 days a week.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field.

  • A total of four years of education (as described in number one) and/or full-time experience in accounting, secretarial, or office support work collecting, compiling, reporting, examining and/or editing numerical data; coding and qualifying people for benefits, licenses, or other transactions; preparing and keeping budgetary accounts and projections; organizing and implementing office support operations; advising on procedural processes; or other work that provided direct support and exposure to substantive agency programs, where one year of full-time experience is equal to 30 semester hours of education.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as a Secretary 2, Clerk Specialist, Public Service Supervisor, Accounting Technician (any level), Purchasing Assistant, or Human Resources Technical Assistant
