Job Description

Community Based Corrections District 5 is seeking an Administrative Assistant 2

Hours: Monday to Friday 8:00am to 4:30pm

Duties of this position include, but are not limited to:

  • Administers, implements and oversees the fee collocation program for District in all 16 counties, and answers staff and client questions, maintains fee waivers as Director’s designee.

  • Prepares and reconciles fee collection reports and presents data and progress of fee collection.

  • Reconciles fee system reports to credit card system data to ensure payments are accurately recorded.

  • Works with district staff and others to resolve fee system and credit card system errors.

  • Monitors progress towards program goals.

  • Identifies and researches operational issues and takes/recommends corrective action.

  • Negotiates and develops a planned course of action to recover outstanding payments, payoff deadlines and payment plans.

  • Oversees District Setoff Program, answering client questions and ensuring District complies with program rules.

  • Provides assistance to the District Director, Assistant District Directors, Public Services Manager (Fiscal) and Human Resources department by coordinating administrative programs such as:

  • Gathering information from a variety of sources and compiles information and data; produces high quality charts, graphs, info-graphics and reports on a variety of specialized topics for the District Director utilizing programs such as word, excel, power-point, google programs and publisher.

  • Makes requests for information to appropriate staff at the request of the Director.

  • Assists in anticipating and troubleshooting problems and helps determine resolution.

  • Monitors progress toward strategic plan, district goals and other overall goals and objectives; identifies and investigates operational or program problems and recommends corrective actions.

  • Fields and responds, as the main point of contact for the District Director, to public, agency, stakeholder, customer or client questions, concerns, complaints, requests or inquiries.

  • Directly researches, investigates and consults as needed and prepares appropriate responses via correspondence or reports with knowledge and interpretation of the District's and the Department's Mission, policies, administrative code, and an overall big picture view of operations and administrations on behalf of the District Director.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).

  • A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1
