Henry Ford Health System Office Coordinator Safety & Reliability (Hybrid - Detroit, MI) in Detroit, Michigan

This non-exempt position will be day hours from 8-4:30 and require in person work at the Henry Ford corporate office at One Ford Place, with the opportunity to work some days from home once trained. As a member of the Safety & Reliability team, this person will support the patient interpreter services program, compliance monitoring, scheduling, equipment ordering, invoicing and purchase order spend tracking.

GENERAL SUMMARY:

Under the general supervision of their manager, responsible for day-to-day department operations. Provides services necessary to enhance customer relations by responding to guest’s needs during initial contacts. Coordinates department office staff. Oversees orientation of new associates. Serves as a resource to other clerical staff, problem solver, and staffing coordinator.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Regularly directs work activities of the clerical staff such as assigning and checking work, training, explaining and ensuring adherence to departmental policies, procedures, and practices. Interviews and assists in selecting clerical personnel and participates in the evaluation of employee performance.

  • Maintains and updates a variety of department records, databases or systems ensuring accurate and up to date information is being processed and recorded in consistence with established policies, procedures and guidelines. Maintains confidential information such as personnel records and patient information. Completes and submits reports to internal & external agencies.

  • Performs general financial duties and monitors purchasing activities following specific guidelines and procedures. Insures equipment maintenance is performed on schedule.

  • Maintains a working knowledge of applicable Federal, State and local laws and regulations, the Corporate Compliance Program, Code of Ethics, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior.

    SPECIALIZED JOB DUTIES:

  • Maintains communications with customers and assists in resolving problems.

  • Demonstrate a thorough understanding of department charges, charge order set(s), department CDM management, and charge capture processes (including crediting charges).

  • Have the ability to execute charge capture processes including charge reconciliation, monitoring and reconciling gross charges daily and monthly, identify and investigate variances, and ensure resolution of issues.

  • Must be proficient on the applicable software systems(s).

  • Obtain, review, and correct errors per error report(s) or upon request.

    EDUCATION/EXPERIENCE REQUIRED:

  • High school graduate or G.E.D. equivalent is required.

  • Associates Degree in Business, Medical Assisting or Healthcare Management preferred.

  • Four (4) years of previous experience in hospital/healthcare office.

  • Knowledge of medical terminology and general office procedures.

  • Literacy and experience using Microsoft Office software programs required.

  • Previous supervisory or team leader experience preferred.

  • Advanced knowledge of office equipment.

    Additional Preferred Qualifications:

  • Highly organized, self-motivated and directed.

  • Knowledge of invoicing/accounts payable processes.

  • Excellent communication and basic math skills.

  • Proficiency with creating spreadsheets, formulas, and pivot tables in Excel.

  • Experience with an interpreter services program preferred, but not required.
