Henry Ford Health System Physician Access Coordinator | International Patient Services | Part Time (24hrs/wk) in Detroit, Michigan

GENERAL SUMMARY:

The Physician Access Coordinator will develop relationships and processes to support Community Physicians, patients and their family members. Will be responsible for maintaining constructive lines of communication between Administration, Referring Physician Office, HFMG physicians, Community physicians and their patients. Actively contributing to an organizational culture committed to the highest degree of service excellence to all customer groups. The position will have matrix lines of responsibility.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Provides World Class Service Excellence

  • Warm patient greeting and closing (AIDET)

  • Performs rounding per protocol

  • Service recovery (HEART)

  • Adheres to Chief First Impressions Officers (CFIO) standards

  • Adheres to Front Line Staff dress code at all times

  • Works with leadership to develop pathways of clear communication between physicians/nursing staff and friends/family members.

  • Facilitates and operationalize processes designed to foster barrier free access to appointments and service for referring physicians.

  • Initiates contact and maintains relationships with incoming patients and families. This includes, but is not limited to, assisting prior to visit with directions, accommodations i.e., hotel or guest apartments, and way-finding while on hospital campus.

  • Creates a daily environment that fosters a welcome feeling to patients and their families.

  • Communicate information back to the appropriate areas of responsibility regarding patient and/or physician feedback.

  • Maintain a working knowledge of information and lines of communication between HFHS and physicians.

  • Assist internal & external physicians in navigation and access to HFHS physicians, sites and services.

  • Assist patients and their family members in navigation and access to HFHS campus and services.

  • Communicates with internal and external physicians, patients, employees and other customers regarding appointment scheduling.

  • Documents in various applications as a resource for HFHS statistics & analytics

  • Must be adaptable/flexible in a changing work environment which requires upgrading skills, processes and additional responsibility; including location assignment.

  • On-call rotation – Availability of hours varies

    EDUCATION/EXPERIENCE REQUIRED:

  • Associates degree or two years of college.

  • Minimal of 3-5 years progressively more responsible related work experience necessary in order to gain in-depth understanding of organizational policies, procedures, and operations in order to assume a variety of high level administrative details.

  • Two to five years of HFMG hospital or private practice operational responsibilities/experience.

  • Proven performance in working collaboratively in a multidisciplinary team.

  • Knowledgeable of medical electronic information registration and appointment scheduling systems.

  • Epic registration experience preferred.

  • Must possess a positive attitude.

  • Able to apply problem-solving and critical thinking skills.
