Henry Ford Health System Physician & APP Coordinator | Full Time | Detroit, MI in Detroit, Michigan

DESCRIPTION:

Supports physician and advance practice provider (collectively providers) acquisition activities by providing technical and logistics assistance that enhance the successful placement of provider candidates. Responsible for a variety of activities associated with Information systems, recruiting, and administrative support for delivering of qualified provider candidates to Henry Ford Health (HFH) and the Medical Group to meet the goals and objectives of physician recruitment strategies.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

  • Develops and maintains working knowledge of the health system and regional communities to assist with candidate inquiries.

  • Participates in provider sourcing and acquisition activities targeting candidates using a variety of database and online job sourcing methods. Methods include, but are not limited to, posting opportunities on HFHS website, physician career websites, advertising, direct mail, and telemarketing.

  • Assists with the identification of potential provider candidates through online job postings, residency and fellowship program listings, provider sourcing databases such as PracticeMatch, PracticeLink, Doximity, and professional medical associations across the country to attract qualified and diverse candidates.

  • Sends out direct mail and broadcast emails to potential provider candidates creating maximum exposure to posted opportunities throughout HFHS and the Medical Group.

  • Assists the in-house Physician and APP Recruiters with the facilitation of the site visit for the candidate and spouse/significant other. This may include but is not limited to arranging for travel, lodging, meals, and welcome gift, developing itineraries for candidate and spouse, providing transportation, assisting with site visits, virtual interviews, and benefit overviews, and other activities as needed.

  • Assists Physician Recruiters with leadership searches and participates in the process as required.

  • Provides input, as needed, into the department budget. Manages costs effectively, audits and submits expenses for approval and payment.

  • Assists with the documentation required for the completion of the credentialing process, as needed. This may include but is not limited to references, background check, license verification and other screening activities.

  • Assists with candidate reimbursement process for incidental expenses incurred by candidate or spouse and assist with the physician relocation, as needed.

  • Maintains a working knowledge of applicable Federal, State, and local laws and regulations, HFHS Compliance Program, Standards of Conduct, ethics, as well as other policies and procedures to ensure adherence in a manner that reflects honest, ethical, and professional behavior.

  • Submits invoices relating to departmental activity for processing.

  • Orders office supplies and conference materials as necessary.

  • Assist with verifying all new hire data is correct in system.

  • Represents department and recruitment staff, as needed, at meetings relating to department functions and responsibilities.

  • Develops and produces reports from the department’s Provider Relationship Management system (PRM) for open requisitions, candidates, status reports, and other recruiting and onboarding related metrics.

  • Completes data audits for the PRM to ensure the accuracy and quality of the data contained in the system.

  • Develops and implements mail merges from the PRM.

  • Monitors effectiveness of PRM and collaborates with vendor to make necessary modifications and enhancements.

  • Manages and coordinates data imports into the PRM.

  • Utilizes the PRM internal survey component to assist department staff with the development and implementation of surveys and feedback tools.

  • Perform all other duties assigned by Director, Physician Recruitment.

EDUCATION AND EXPERIENCE:

  • Bachelor's Degree in business, communications, human resources, marketing or health related field and a minimum of (2) two years of experience in areas such as, healthcare, recruiting, medical staffing/credentialing, sales/marketing or customer service.

  • Minimum of two years of experience in the management of a Candidate Relationship Management (CRM) system including report generation, system design, data importing/exporting, data auditing, document/mail merging, and other CRM related tasks.

  • Specific background and a working knowledge of the medical/physician community is preferred.

  • Working knowledge and proficiency of a variety of tools including email, internet, and software applications.

  • Experience working with spreadsheets, graphics, database applications and presentation desirable.

  • Excellent communications skills, both verbal and written, along with interpersonal and networking skills to present physician practice opportunities in a professional manner.
