Located on the Duluth campus of the University of Minnesota, the individual serves as an Administrative Specialist for the Department of Pharmacy Practice and Pharmaceutical Sciences (PPPS) and the Duluth Campus of the College of Pharmacy. The individual provides administrative support to PPPS departmental faculty and staff and the College of Pharmacy Senior Associate Dean's office on the Duluth Campus. Working closely with faculty, staff and executive team requests, the expectation is for work both collaboratively and independently, in a multi-task, frequently interrupted work environment. The incumbent must exercise discretion and independent judgment as the work performed can be directly related to and impact the general business operations of the College and/or our customers and constituents. Principal Duties and Responsibilities: 100% Administrative Support Front desk office support Create a friendly, welcoming atmosphere for faculty, staff, students and visitors. Process, receive and distribute mail and package deliveries. Manage room scheduling requests and post daily schedules. Answer phones/messages, e-mail requests. Manage routine daily office tasks. Provide administrative support to the Executive Associate Research and resolve conflicts, risks, and issues as they arise. Reconcile Pcard transactions, process requisitions and expense reimbursements. Arrange meetings, provide administrative and logistics support as assigned or requested. Facilitates meetings, prepares agendas, takes minutes, and provides administrative support and follow up on matters arising from meetings Draft, edit, and proofread correspondence and documents. Support faculty/staff and College of Pharmacy Duluth campus with data entry/processing, mailing, filing, photocopying, faxing and related requests. Coordinate ordering and replacement of research lab equipment and supplies. Document receipt of orders. Process service contract renewals for research lab equipment under direction of Lab Manager. Provide support for personnel searches and other complex events. Assist with coordination/management of departmental or campus projects and events. Provide primary support at events. Miscellaneous duties as needed and/or assigned. Supervision: Incumbents may supervise student employees. Working Conditions: Office environment / no specific or unusual physical or environmental demands. Working Arrangements: This role is offered as an on campus position. You are required to be onsite at our Duluth, MN-based campus on a regular basis. Specific schedule will be determined between you and your supervisor. *The Employer retains the right to change or assign other duties to this position. Qualifications Required Qualifications High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience. Demonstrated ability to maintain confidentiality with sensitive information. Experience establishing successful working relationships with multiple groups (students, staff, faculty and external customers). Previous experience in customer service. Demonstrated ability to collaborate with a diverse population of faculty, administrators, staff and students. Experience with multi-faceted projects that require flexibility, dependability, attention to detail and deadlines. Proficiency in Microsoft Suite, Adobe, Google Workplace applications. Previous experience managing schedules, calendars, and timelines for multiple projects. Excellent organizational skills, detail-oriented, and accuracy in completing assigned tasks. Ability to work both collaboratively and independently in a multitask environment with frequent interruptions. Experience with PeopleSoft applications. Experience with accounting practices and software (e.g. purchasing, expense reports).
