Aston Carter Business Operations Support in Earth City, Missouri

Job Description

Supports general office maintenance, receptionist functions, laboratory functions, and manages site visitors. This role supports the executive management team and interacts with internal and external customers at all levels of the organization. Self-management, handling of confidential information, and independent judgment are required to plan, prioritize, and organize a diverse workload with minimal oversight. The role also supports site procurement, receiving, and supply chain.

Essential Duties and Responsibilities:

• Provide general administrative support to lab operations and management teams.

• Support on-site business functions for lab operations, including receiving, supplier/vendor tasks, centralized ordering, maintaining kitchen and office inventory, and supporting on-site visitors.

• Organize, file, and ensure archival of business-critical documentation, including employee training files, equipment files, study documentation, and business contracts.

• Operate a personal computer efficiently and accurately with company-provided software programs, including Coupa, Word, Excel, and others as required.

• Greet visitors, provide visitor badges, and follow proper sign-in/out procedures.

• Schedule and organize complex activities for employees and visitors, such as meetings, travel, conferences, hotels, airport transportation, lunches, dinners, meeting invites, and collecting RSVPs.

• Type and design general correspondence for site events, memos, charts, graphs, business plans, etc.; proofread for spelling, grammar, and layout, making appropriate changes; ensure accuracy and clarity.

• Ensure office, conference rooms, kitchen, and common areas are functional and meet standards for organization, appearance, and hygiene.

• Maintain inventory for kitchen and office supplies, placing necessary orders to replenish, stock, and keep areas clean and organized.

• Maintain office machines such as phones, television monitors, fax, copier, and scanner; organize service when needed; ensure paper and toners are available for general use.

• Provide secretarial and administrative support to the management team, including managing their calendars and establishing online teleconferences.

• Demonstrate proficiency in purchasing and inventory management.

• Ensure unit procurement processes are completed from requisition through receiving and general ledger account assignments; receive and audit purchase requisitions within purchasing software.

• Prepare purchase orders, standing orders, and service contracts for office and laboratory needs.

• Source products through the most cost-effective vendors when possible and serve as liaison between lab personnel and vendors for ordering issues such as pricing, backorders, or defective materials.

• Complete new vendor request forms and coordinate new vendor requests with NSC; maintain the approved supplier list.

• Provide cross-functional support to other departments as required.

• Adhere to site environmental health and safety (EHS) requirements.

• Perform work in an office and laboratory setting, meeting the physical job requirements of the role.

• Demonstrate proficiency with, care, and maintenance of lab equipment and department assets.

• Work effectively in a team environment, under minimal direction, to achieve business production, project timelines, and quality objectives.

• Complete required training and support 100% of Employee Health and Safety requirements.

• Conduct responsible use of confidential IT and business systems, as required.

• Adhere to department SOPs and documentation requirements, maintaining accurate data management and reporting.

• Support unit goals and demonstrate company competencies, as defined in the job plan.

• Routinely communicate project updates to internal and external clients.

• Demonstrate and promote the company vision.

• Maintain regular attendance and punctuality.

• Perform other duties as assigned.

Work Site

This is a fully on-site position in Earth City, Missouri.

Work Environment

Monday - Friday onsite schedule. Office is open from 9am - 5pm so flexibility with start/end time. 7:30am - 4pm, 8:30am - 4:30pm, 9am - 5pm.
