Job Details Responsibilities of the Administrative Assistant include: Manage and prioritize daily administrative tasks, including answering phone calls, responding to emails, and handling correspondence. Maintain accurate and up-to-date records, databases, and filing systems related to environmental projects and activities. Schedule and coordinate meetings, workshops, and events, ensuring necessary resources and materials are available. Assist in preparing and formatting reports, presentations, and other environmental documents. Proofread and edit documents to ensure accuracy, consistency, and adherence to established formats and guidelines. Collaborate with team members to compile information and data required for various environmental reports and submissions. Stay updated on relevant environmental regulations, policies, and procedures to ensure compliance with local, state, and federal regulations. Support the preparation and submission of environmental permits and compliance reports. Assist in organizing and maintaining records related to environmental permits and compliance documentation. Support projects for the Facility as director by the Vice President of the Facilities Department and coordinate project activities, deadlines, and deliverables. Assist in tracking project progress and ensuring milestones are met. Help in the organization of field visits and data collection efforts as needed. Communicate effectively with internal team members and external stakeholders, including clients, regulatory agencies, and vendors. Assist in maintaining positive working relationships with various stakeholders involved in environmental goals and objectives. Assist in tracking departmental expenses and managing budgets for specific projects. Coordinate with finance or accounting departments for invoice processing and payments related to environmental services. Requirements for the Administrative Assistant position include: Bachelor's Degree or 5 to 7 years’ experience. Spanish Bi-lingual preferred. Proven experience as an administrative assistant or in a similar support role. Familiarity with environmental regulations and compliance. Proficiency in using office software, including MS Office Suite (Word, Excel, PowerPoint). Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously. Strong attention to detail and accuracy in data management and document preparation. Ability to work both independently and collaboratively within a team environment. Demonstrated professionalism, reliability, and a commitment to maintaining confidentiality Salary Range USD $23.46 - USD $32.85 /Hr. The salary range or rate listed does not include any differential pay or other forms of compensation that may be applicable to this job and it does not include the value of benefits.
