Position Summary

Reporting to the Secretary for Academic Governance, this individual provides support for the Office of Academic Governance's and Secretary's administrative processes.

Duties:

Managing an extremely active calendar of appointments; planning, coordinating, and ensuring the Secretary's schedule is followed and respected. Working closely with the Secretary to keep them well-informed of upcoming commitments and responsibilities, following up as needed. Arranging complex and detailed travel plans, itineraries, accommodations, agendas, and expense reports for the department.

Serving as a "gatekeeper" and "gateway" for the Secretary, balancing priorities and creating win-win situations for effective time management.

Drafting, proofreading, and finalizing emails, memos, reports, and other documents, including correspondence of a highly confidential and sensitive nature. Ensuring that the Office Staff's bios are kept updated.

Identifying and implementing process improvements to enhance the operational efficiency of the Office of Academic Governance, leveraging technology and innovative solutions.

Overseeing departmental parking, badge access, key distribution, and space allocation requests.

Minimum Requirements

Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining Outlook calendars, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience.

Desired Qualifications

Experience with Academic Governance is preferred.

Advanced experience with maintaining a calendar in outlook and able to organize the correspondence between the Secretary and Academic Committees.
