Position Summary

Office coordinator position for an energetic, detail oriented, qualified candidate who works well independentlyandenjoys working and interacting with team members, faculty, staff and students. Duties include HR/budget related tasks and general office support in a busy and growing academic/research unit.

The selected candidate will work with and support the departmental administrative team, HR administrator, department manager, chair, fiscal officer, graduate and undergraduate program coordinators, advisors, office coordinator, office assistant, and faculty, research lab staff, students and temp/on-call employees. There will also be interactions with administration at college and higher levels, central HR, Accounting, Payroll, Travel, and individuals as appropriate. They will demonstrate sound judgement and maintain a positive and professional department and office image and work environment. Seeking a detail oriented, well organized team player to efficiently and accurately track, process and maintain the tasks associated with the position.

Position duties may include the following, and other duties as assigned:

  • Assist with accounting, travel and HR related processes and documents, vouchers, account expenditures, commitments and balances, fund transfers, cost redistributions, invoices, reports, monthly ledgers, reconcile receipts with ledgers, payroll and other accounting reports

  • Process and reconcile P-card transactions, requisitions, and ordering

  • Process and/or oversee bi-weekly payroll and time entry, monitor hourly and salary pay accounts and end dates, determine pay account changes and process in a timely manner, including retroactive pay changes at Payroll

  • Post student and temp/on-call positions, process hires, complete I-9 and background checks, monitor end dates and extensions, process terminations

  • Assist with general office tasks such as: answer questions and locate materials and information, sort mail and process shipping requests (FedEx, USPS, other), greet visitors, arrange meetings, back-up other staff duties as needed

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; six months to one year of related and progressively more responsible or expansive work experience in customer service or in performing tasks related to the area of employment; or an equivalent combination of education and experience.

Desired Qualifications

Experience in EBS, SAP, KFS, MSU travel system, Excel.
