The expected base salary range for this position is $51,500 to $72,000. This salary range may vary based on the candidate's qualifications, experience, skills, education, and geographic location.

JOB SUMMARY: The Project Specialist is responsible for assisting Project Managers or Clinical Strategic Solutions (if supporting US operations), or Country Managers (if supporting OUS operations) in daily activities. Using project management methodology, support Project Managers or Clinical Strategic Solutions (US) or Country Managers (OUS) in defining, designing and delivering client programs and results. Project Specialists are assigned to multiple ongoing programs in various states or countries (depending on scope of support), responsible for various aspects of cross-functional team communication and delivery of information, and internal systems management.

EDUCATION REQUIREMENTS:

  • Associates degree required. Bachelor’s degree preferred.

QUALIFICATIONS/EXPERIENCE:

  • Advanced Microsoft Excel skills and proficient knowledge of MS Office programs (Word, Visio).

  • Strong organizational skills, ability to prioritize tasks from multiple stakeholders.

  • Exhibits ability to consistently meet deadlines.

  • Ability to work in fast-paced environment and support multiple projects concurrently and able to manage a variety of tasks.

  • Knowledge of clinical trials, healthcare, or other medical knowledge/experience preferred but not required.

  • Strong customer service skills.

  • Deliverable focused in a customer service environment.

  • Excellent written and verbal communication, and presentation skills.

  • Strong critical thinking skills required and attention to detail, with ability to work in matrix environment.

  • Must be proficient in English. Multi-lingual a plus.

ESSENTIAL DUTIES/RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.

  • Participate in kickoff, in-process, status, final deliverable and other project related meetings with cross-functional teams and project stakeholders at all levels.

  • Create custom reports that highlight program results by collecting and analyzing data through critical-thinking and collaboration with internal and external program team members.

  • Make key decisions to prioritize resources for project delivery and exercise appropriate judgement to understand how and when to escalate customer and internal inquiries and concerns.

  • Lead maintenance of project-specific trial management tools/systems ensuring all are updated as required reporting to internal and external stakeholders.

  • Drive the agenda and produce the minutes for internal and external project team meetings by coordinating, collecting and collating topics through critical-thinking and collaboration with internal and external project team members.

  • Responsible for coordinating multi-departmental timelines, analyzing data and providing input to Project Managers or Clinical Strategic Solutions (if supporting US operations) or Country Managers (if supporting OUS operations) on an on-going basis.

  • Own back-end data systems with ability to design custom reports for client delivery and review.

  • First line of assistance for any non-specialized tasks such as data entry and administration of database management.

  • Responsible for coordination of programming priorities between the Project Management and the Programming departments to ensure proper creation, maintenance, and regulatory compliance of web-based tools.

  • Perform quality control review of project deliverables and provide appropriate feedback ensuring adherence to customer contracts and request.

  • Contribute to tracking budget items for all services against project scopes of work.

  • Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here.

  • Attendance and punctuality are essential functions of the position.

  • Oversee call center activities and manage other vendor relationships and deliverables.

  • Assist in the creation of recruitment materials, including concept creation and management of the translation process, regulatory approvals, printing, and delivery.
