Position Description:

Performs varied and complex administrative duties in the management and coordination of a large specialized project and/or program. Requires independent judgement and application of established policies and procedures. Works under general supervision with evaluation based on overall results obtained.Coordinates the day-to day, administrative aspects of the Graduate Medical Education (GME) Program in collaboration with the Program Director (PD), GME office, attending physicians, fellows/residents and the other institutional and regulatory administrative offices. In conjunction with the PD, the GME Associate Director shares responsibility for the administration of the residency/fellowship program and assists the PD in developing and maintaining the educational quality of the program and ensuring compliance with accreditation

standards and other regulatory requirements.

Major/Essential Functions:

  • Provides administrative support for the residency and Fellowship programs

  • Serves as liaison between programs, departments, and other entities

  • Prepares and provides guidance to residents and fellows on evaluations. Manages the residency and fellowship program

  • Tracks duty hours and medical procedures

  • Responsible for residency and fellowship program policy and procedure manuals

  • Oversees the New Incoming Residents & New Student orientations

  • Partners with program directors in preparing for program accreditation.

  • Partners with program director to establish and coordinate the residency candidate recruitment process

  • Manages the Electronic Residency Application Service (ERAS)

  • Manages all in-processing documentation for new incoming residents

  • Directs and oversees program related educational and social activities for residency & fellowship programs

  • Directs and oversees compliance with the annual ACLS/BLS certification & renewal, HIPAA, EEO/Sexual Harassment, and Billing compliance

  • Manages and maintains Affiliation and Program Letters of Agreement

  • Attends conferences & professional development meetings

  • Performs additional duties assigned by supervisor within the scope of position, following TTUHSC policies and procedures, in order to meet the goals and objectives of the department

  • Supervises Fellowship Program Coordinator

  • Adhere to all TTUHSCEP policies, procedures and processes

  • Personally demonstrate, display, and act in accordance with TTUHSCEP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork)

  • Actively promote and encourage staff across the institution

  • Perform all other duties as assigned

Preferred Qualifications:

  • TAGME certification, in-process certification, or goal to obtain certification

  • Understand and apply Family Medicine and Sports Medicine program accreditation requirements and guidelines, as well as all other governing agencies

  • Understand the organizational structure of Family Medicine and the relationship between the program, the accreditation, and institutional entities

  • Utilize interpersonal skills to work effectively with others: is an active listener, and is fair and nonjudgmental. Understands and ability to apply general human resource functions and principles

  • Understands and ability to apply general financial and budgetary processes, principles, and planning. Understands graduate and continuing medical education. Understands recruitment activities and applicable software. Understands the importance and aims of wellness within the program and is knowledgeable of the resources available
