Position Description:

Performs administrative duties in the management and coordination of a large specialized project and program. Under general supervision, performs varied and complex administrative duties requiring independent judgment and the application of established policies and procedures. May provide supervision and direction to clerical, para-professional or professional staff members.

Major/Essential Functions:

  • Responsible for managing the financial record keeping, reporting, and other accounting functions on behalf of the FGSBS.

  • Responsible for accounting processes, such as, purchases, contracts, submitting monthly expense reports, and ensuring invoices get processed in a timely manner.

  • Responsible for Banner Student data entry and maintenance reflecting the life cycle of a student.

  • Responsible for scheduling, coordinating, and confirming applicant interviews for all vacant positions as needed.

  • Responsible for creating databases and analyzing student/intern records. Collects data and submits reports to other organizations.

  • Responsible for ensuring student admission, class registration, and degree completion.

  • Responsible for creating and analyzing assessment tools that help the school achieve its program objectives; for example, Qualtrics.

  • Responsible for organizing the graduate council meetings.

  • Responsible for collecting, transcribing, and editing meeting minutes.

  • Assists leadership in formulating and implementing policies and procedures.

  • Leads the preparation of documents required by the institutional Office of Finance and Administration on behalf of the FGSBS.

  • Assist leadership in the recruitment of faculty and staff.

  • Ensures departmental compliance with institutional safety requirements.

  • Serves as the unit safety officer.

  • Adhere to all TTUHSCEP policies, procedures and processes.

  • Personally demonstrate, display, and act in accordance with TTUHSCEP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Actively promote and encourage staff across the institution.

  • Perform all other duties as assigned.

Preferred Qualifications:

  • Previous experience working at an institution of higher education institution is preferred.

  • Experience managing sensitive information is preferred.

  • Knowledgeable of Finance and Administrative regulations is preferred.
