Position Description:

A Dental Clinic Office Manager is responsible for all day-to-day clinical operations for a group of dental/health care professionals. Plans and oversees all fiscal/administrative support, human resources management, and office services for a clinical practice. Performs tasks which require advanced skills in organization, planning, interpersonal relations, in depth knowledge of clinic operations and overall understanding of other departments. This position interacts and works closely with the departmental leads. Directly supervises 8-15 employees in the assigned clinical department. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Major/Essential Functions:

  • Oversee daily operations of the dental clinic.

  • Supervision and appointment of clinical staff.

  • Customer and employee relations.

  • Work with PSS Supervisor to manage a productive clinical schedule.

  • Ensure effective execution of operational standards, including compliance with established policies, procedures, and OSHA regulations.

  • Work closely with the Unit Manager and Billing Associate to manage all financial aspects of the practices.

  • Work with Insurance and Billing team members to review patient claims.

  • Serve as a member of the hiring committee and manage staff onboarding.

  • Run monthly reports to manage and reduce collections.

  • Assist Clinical Administrator implementing clinical policies and procedures.

  • Manage the logistical inventory and supply procurement process for the organization.

  • Conduct performance reviews for staff.

  • Assist Institutional Advancement in the marketing and public relations to stimulate new patient growth and patient referrals.

  • Other essential administrative responsibilities as needed.

  • Adhere to all TTUHSCEP policies, procedures and processes.

  • Personally demonstrate, display, and act in accordance with TTUHSCEP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Actively promote and encourage staff across the institution.

Preferred Qualifications:

  • Overall extensive knowledge and understanding of dental-related systems, technical specifications and processes.

  • Proficiency in CDT codes.

  • Experience with dental software EHR's.

  • Excellent oral and written communication skills,

  • Intermediate knowledge of Microsoft Office.

  • Effective management and leadership skills.

  • Ability to manage time effectively.

  • Effective organization and prioritization skills

  • Effective facilitation and interpersonal skills.

  • Advanced troubleshooting and problem-solving capabilities.

  • Ability to multitask and work in a fast-paced environment.
