Steuben Foods Inc Compliance Program & Documentation Coordinator in Elma, New York

Compliance Program & Documentation Coordinator ensures that organizational processes and practices comply with the requirements of various standards including customer, regulatory, SQF, and the organization’s own requirements. Initiate changes to controlled documents, forms and procedures used within the Steuben Foods Plant to document and perform manufacturing under GMP conditions. Lead compliance management, technical data-gathering, perform routine audits on critical systems and maintain SQF and QMP systems.

Education/Prerequisite Requirements:

  • Minimum High School diploma

  • Work experience in food and/or pharmaceutical manufacturing preferred, but not required.

  • Must be able to work independently and as part of a diverse team.

  • Ability to communicate and work effectively with a wide variety of team members (management, production workers, compliance & quality staff, etc.) is crucial.

  • Ability to work in a fast paced environment

  • Strong computer skills – Excel, Word, Microsoft Outlook, and PowerPoint.

Equipment/Training Knowledge:

  • General understanding of aseptic processing and packaging – pasteurization, UP and UHT

  • FDA recognized Better Process Control School

  • HACCP Training

  • GFSI-SQF Training

Work Specifications – Responsibilities:

  • Responsible for food safety and quality

  • Update all QMPs for accuracy vs. current practice, formatting, signature and change pages. Route for approval and then training to pertinent departments. Track progress on % updated and % trained. Maintain the SQF Register for auditing Systems audits.

  • Submit and receive Document Change Forms from departments across the Plant. Secure approvals for change(s), process changes and update form databases on LAN and Control QMPs.

  • Gather data for meetings, reports and troubleshooting from production release sheets, Protean and other sources to assist management decision-making and reporting processes.

  • Assist in HACCP, assemble HACCP Team meetings, take meeting notes, change documents through document control procedure and add notes to HACCP meeting notes matrix.

  • Assist in SQF, assemble SQF Team meetings, take meeting notes, change documents and policies through document control procedure and add notes to SQF meeting notes matrix.

  • Report audit findings:. Send notification to the responsible party to complete these non-compliances, enter completion and responses to auditors

  • Educates personnel on quality and food safety initiatives, including development of training materials and group training presentations.

  • Data Entry for the following programs to maintain compliance, matrixes used during audits to show compliance.

  • Change control matrix.

  • Filling control for document changes and hyperlink all forms.

  • QMS details the control points and associated documentation that are used to establish the control of processing and filling operations for all product lines. (Customer requirement)

  • SQF registers – Glass and brittle plastic matrix, chemical controls matrix, SQF policy matrix, supplier approval matrix, raw material matrix, training matrix and packaging matrix.

  • HACCP meeting notes matrix.

  • SQF meeting notes matrix.

  • Master Sanitation Program tracking.
