We are seeking a highly organized and proactive Administrative Assistant to join our team. As an integral part of our organization, the Administrative Assistant will play a key role in supporting our day-to-day operations and ensuring the smooth functioning of our office. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to multitask effectively. This is an exciting opportunity for a motivated individual to contribute to a dynamic and growing team:

Responsibilities:

  • Assist in day-to-day administrative tasks such as answering phones, responding to emails, scheduling appointments, and managing calendars.

  • Organize and maintain documents, records, and files, both physical and digital. This may involve scanning, filing, and retrieving documents as needed.

  • Draft, edit, and proofread correspondence, reports, and other documents. This includes letters, memos, emails, and presentations.

  • Accurately enter data into databases, spreadsheets, and other systems. This could involve updating contact lists, inventory records, or financial information.

  • Coordinate meetings, conferences, and events. This may include booking venues, arranging catering, and preparing materials.

  • Assist with travel arrangements for staff, including booking flights, hotels, and transportation.

  • Help maintain office supplies and equipment and ensure the office environment is organized and conducive to productivity.

  • Assist with processing expense reports, tracking expenditures, and reconciling accounts.

  • Address inquiries and resolve administrative problems and issues promptly and efficiently.

  • Provide additional support and assistance to other team members and departments as needed.

  • Maintain confidentiality and handle sensitive information with discretion.

  • Proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment and software systems.

  • Ability to prioritize tasks and manage time effectively to meet deadlines.

  • Strong communication and interpersonal skills are essential for interacting with colleagues, clients, and visitors.

  • Excellent organizational skills to manage multiple tasks simultaneously and maintain efficiency.

  • Accuracy and attention to detail are crucial for maintaining records and producing error-free documents.

Requirements:

  • Bachelor's degree in business, Accounting, or related fields.

  • 2 years of office/clerical experience, including 2 years using computer applications.

  • Proficiency in office software (spreadsheets, word processing, email, databases, google docs).

  • Strong organizational and communication skills.

  • Ability to adapt to changing priorities and work in a fast-paced environment.

  • Proactive approach to work and willingness to take on new responsibilities and challenges.

  • Represent the organization in a professional manner in all interactions and communications.

Pay Details: $30.00 to $32.00 per hour
