Dairy Farmers Of America Business Office Supervisor in Englewood, Colorado
General Purpose Supervise the daily activities of a business support team (two or more full-time employees) who performs essential tasks in support of a plant, area office, branch operations, or other business location. Supervised activities may include clerical duties, less complex accounting, invoicing, route settlement activities, records maintenance, record retention, filing, tracking, and processing of information, reporting, meeting coordination and preparation, inventory tracking and control, purchasing activities, and compliance monitoring. Respond to the needs of internal and/or external customer requests or questions. Evaluate efficiencies for areas of responsibility and recommend changes for improved workflow, standardized processes, cost reduction, etc. Job Duties and Responsibilities Supervise and coordinate work schedules and daily duties of staff to ensure that incoming requests, recurring activities, quality standards, and deadlines are being met Give guidance and/or instruction in handling errors, problems, complicated or new situations, etc. Interpret and explain work procedures and policies to staff; ensure proper procedures are being followed Work with other supervisors to coordinate workplace activities with other departments, units or teams Perform administrative support activities of a more complex, higher visibility or varied nature Prepare and manage reports, manuals, correspondence and other documents using a database or word processing Maintain records, including inventory, personnel, orders, supplies and maintenance documentation Handle confidential information and maintain the security of records and files, whether in voice, electronic or print form Complete or coordinate special projects Function as an escalation point for questions or issues from the office team Develop and document processes and procedures used by the team or the location being supported Lead or oversee business support related projects Assist with accounts receivable/payable and invoicing processes Maintain office filing records system, answer phones, etc. The requirements herein are intended to describe the general nature and level of work performed by employee, but is not a complete list of responsibilities, duties and skills required. Education and Experience High school diploma and 4 years of progressive administrative work experience or undergraduate degree and 2 years of progressive administrative work experience Demonstrated leadership attributes or team leadership experience Experience requiring a high degree of multi-tasking and organizational skills Knowledge, Skills and Abilities Strong knowledge of and skill with Microsoft Office Suite and company computer systems Knowledge of principles and practices of supervision, training and personnel management Able to work autonomously within established procedures and practices while remaining flexible, adept, and open to change and urgency Able to work well with all levels of internal management and staff, as well as external individuals Able to demonstrate customer service skills in a courteous, professional and helpful manner Able to interact positively and work effectively with others (interpersonal skills) Able to make independent decisions Able to demonstrative initiative and follow through for completion of tasks or projects n a timely basis Able to work in collaboration effectively and foster good teamwork Able to respond courteously and efficiently to inquiries, complaints, and requests Able to communicate clearly and effectively, both verbally and in writing Able to work with accuracy and detail oriented Able to meet time schedules and deadlines Able to problem solve, multi-task and prioritize work activities Able to maintain confidentiality of information Must be able to read, write and speak English An Equal Opportunity Employer
