JOB RESPONSIBILITIES:
Responsible for managing the intake, tracking, preparation, and organization of samples in the flavors and beverages quality control laboratory.
Ensures that all raw materials, in-process samples, and finished product samples are properly received, documented, and distributed for testing.
Responsible for maintaining sample inventory, managing the sample request process, and ensuring that all activities comply with internal quality standards and external regulatory requirements.
Oversee the receipt and documentation of raw materials, in-process, and finished product samples in the quality control laboratory.
Maintain an organized inventory of all laboratory samples and ensure proper storage conditions based on type, requirements, and regulatory guidelines.
Track the flow of samples from receipt to testing, ensuring that sample identification, labeling, and documentation are accurate and up to date.
Coordinate the preparation and allocation of samples for testing based on production schedules, quality control priorities, and client requirements.
Maintain accurate records of sample intake, storage, analysis, and testing results in compliance with company procedures and regulatory standards.
Generate sample-related reports as required by internal teams, management, or regulatory agencies.
Ensure that sample data is entered into the lab information management system (LIMS) or equivalent software in a timely and accurate manner.
Act as the point of contact for internal departments (e.g., R&D, Production, Marketing) regarding sample requests, ensuring proper communication and prioritization of sample testing.
Manage and communicate the timeline for sample testing and report delivery to relevant stakeholders.
Ensure that special handling instructions, testing criteria, and sample quantities are communicated and adhered to.
Monitor and maintain an up-to-date inventory of lab materials, including standards, reagents, and other testing supplies.
Ensure that all samples are properly labeled, stored in accordance with safety standards, and disposed of in compliance with regulatory requirements once testing is completed.
Assist the quality control team in ensuring that all required samples are available for testing, including coordinating with production teams to obtain the correct samples for analysis.
Ensure that samples are transported safely within the laboratory and between departments, maintaining sample integrity throughout the process.
Ensure that all sample handling, storage, and testing procedures meet the regulatory requirements and company quality control standards.
Support laboratory audits by maintaining accurate sample records and facilitating the retrieval of samples for inspection.
Assist in identifying and implementing process improvements to enhance the efficiency of the sample intake, testing, and reporting processes.
Collaborate with the laboratory management team to optimize sample tracking and inventory systems.
Work closely with other departments (e.g., R&D, Production, Supply Chain) to ensure smooth communication regarding sample availability and testing priorities.
Collaborate with quality control personnel to ensure timely and accurate sample processing.
May Support other projects as necessary by Quality Leadership
REQUIRED QUALIFICATIONS:
High school diploma/GED
2+ years of experience in a laboratory, quality control, or related field.
Strong organizational and multitasking skills with an ability to manage large quantities of samples simultaneously.
Attention to detail, with a focus on accuracy and data integrity.
Ability to effectively communicate with internal teams and stakeholders regarding sample requests and testing status.
Basic knowledge of quality control practices and regulatory requirements in the food, beverage, or flavoring industry.
Proficiency in Microsoft Office Suite (Excel, Word, etc.) and sample management software.
Ability to work in a laboratory setting and perform tasks such as lifting boxes, organizing samples, and operating laboratory equipment.
Ability to stand, walk, or sit for long periods and adhere to safety protocols when handling chemicals or hazardous materials.
PREFERRED QUALIFICATIONS:
Bachelor's degree
Experience in managing samples in a flavors, beverages, or food production environment is highly desirable.
Familiarity with laboratory information management systems (LIMS) or similar systems is a plus.
