Fairfield University Assistant to Undergraduate Deans & Traditional Undergraduate Nursing Program in Fairfield, Connecticut

Job Description:

DIVISION: Academic

DEPARTMENT: Egan School

BASIC FUNCTION: Provides support for Undergraduate Associate, Assistant Deans and traditional Undergraduate Nursing Program Director in the Egan School and provide support to undergraduate office suite. Assists with office record keeping and mail distribution; helps maintain office equipment and repair.

EDUCATION: High School diploma with some college or equivalent related experience.

EXPERIENCE: 2-3 years office experience. Computer proficiency utilizing various software packages and working knowledge of Workday or equivalent integrated educational computer system. Good interpersonal, communication and organizational skills.

REPORTS TO: Associate Dean for Undergraduate Studies

ESSENTIAL FUNCTIONS:

Provides support for Associate Dean for Undergraduate Studies, Undergraduate Assistant Dean, Traditional Undergraduate Program and undergraduate office suite.

  • Serves as the principal resource and support for the fourth floor suite.

  • Monitors front desk and direct inquiries as appropriate

  • Answers phone and directs inquires as appropriate

  • Helps monitor and respond to the Egan Resource/Clinical Placement email account

  • Provides administrative support:

  • Coordinates and schedules meetings

  • Schedule meetings times/rooms, send out invitations

  • Sends email messages

  • Provides reports for:

  • Student information

  • Enrollment numbers

  • Student schedules

  • Assists with projects and research as assigned

  • Sending out surveys—and run preliminary analysis

  • Coordinate resources

  • Provide clerical support

  • Assists with Summer Letter distribution to all UG students

  • Assists with monitoring

  • NCLEX pass rates

  • SBOEN reports

  • Mountain Measure reports

  • ATI billing—student numbers

  • UG student class reports

  • Changes in numbers

  • Withdrawals

  • Coordinates hires and on-boards temporary help, including work study students and may supervise work and approve hours of temporary staff and work study students.

  • Prepares all student (traditional undergraduate SDNU, MEPN) State/NCLEX information and packets.

Supports Traditional Undergraduate Nursing Program

  • Serves as liaison to the Office of undergraduate Admission Department to coordinate information sessions, student visits, and parent/student inquiries

  • Assists with admissions, orientations and graduation activities.

  • Maintains student files; compiling data on students for requested academic surveys (enrollment status, credits completed, GPA, etc.), tracking students’ progress through the program

  • Creates/maintains a distribution lists of current undergraduate students and alumni

  • Assists with the preparation of materials for program accreditations.

  • Updates Catalog related to changes to undergraduate programs

  • Works collaboratively with assistant dean on advising assignments each semester – assigning faculty, moving students to new faculty if needed and assigning new first year students to advisors.

  • Provides daily assistance with scheduling, class and student organization.

  • Updates the New Faculty Orientation Manual.

  • Supports Study Abroad coordination.

  • Coordinates Summer and End of Semester – Dean’s List Letters, including running Dean’s List recipient report in Banner and send email Dean’s List Letter to each student from the Dean

  • Processes annual stethoscope Orders for Sophomore Students

  • Registers students for clinical sections

  • Manages ATI Student rosters and invoices.

Provides support for Faculty

  • Orders badges, collects transcripts and updates clinical adjunct master spreadsheet Assist faculty with room reservations and technical issues within classrooms.

  • Coordinates and saves to DropBox syllabi from all faculty each semester

  • Coordinates Clinical Evaluation Forms for faculty/students

  • Utilizes systems to activate student records, confirm health documentation, produce degree audits and update personal data.

  • Produce class lists for faculty.

Participates in the professional development and promotes safe and secure working conditions.

  • Promotes an image of efficiency and courtesy throughout the University community and consistent with the department’s mission

  • Attends departmental staff meetings as requested

  • Communicates effectively with supervisor concerning pertinent departmental or university matters, or unsafe work conditions.
