Fairfield University Workday System Administrator in Fairfield, Connecticut
Job Description:
The Workday System Administrator is a member of the Enterprise Systems team at Fairfield University. In this role, you will support the Director of Enterprise Systems and the cross-functional leads by serving as a technical resource for the Workday HCM, Finance, Payroll and Student applications. You will configure security roles and business processes across the organization and continuously monitor new Workday feature releases to evaluate their impact on role management and business processes. You will also be responsible for developing, implementing, and maintaining internal security and role management policies and procedures to ensure compliance and efficiency.
The ideal candidate will have prior Workday technical experience, including security administration and functional knowledge of HCM, Financial, and/or Student business processes.
Primary Responsibilities:
Workday System & Security Administration:
Serve as the primary administrator for the Workday platform, responsible for configuration, maintenance, data loads, integrations, upgrades, optimization, security-related questions, and security design across HCM, Finance, Payroll, and Student applications.
With input from appropriate functional leads, integration administrators and analysts, manage and maintain security groups, roles, and mapping to business processes, ensuring segregation of duties and compliance.
Perform audits on system roles and access logs to ensure accuracy and proper security controls on a periodic basis.
Lead the validation and vetting of all roles and respective security group assignments, domain security policies, and business process security policies.
Support and communicate Workday releases and enhancements to maximize the system's capabilities, assisting with the implementation and testing of new features.
Participate in system testing, including unit testing, integration testing and user acceptance testing for Workday updates, enhancements, and integrations.
Monitor, track progress, and resolve Enterprise System support tickets and collaborate and support functional leads with escalated issues.
Be proactive in understanding inbound and outbound data integrations, monitoring system health, scheduled jobs, alerts and notifications.
Ensure that the Workday platform maintains a set of best practice standards for security concepts, data integrity and data protection, and compliance.
Be an active participant in enterprise user group meetings and facilitate discussions when needed
Business Process Administration:
Work with stakeholders across the University to identify opportunities for process improvement and streamline existing business processes to ensure alignment with institutional goals.
Actively participate in learning University business processes and how they translate to manual, semi-automated and automated processes.
Understand the University enterprise systems portfolio of third party applications and how they interact with Workday.
Assist functional leads in configuring complex business processes, including building calculated fields and advanced routing rules.
Troubleshoot business process issues and work collaboratively to ensure stable and consistent functionality of the Workday environment.
Develop and maintain documentation related to business processes and security configurations, and provide training for end-users as necessary.
Reporting & Audits:
Create and update reports based on business requirements using Workday's report writing tools, ensuring proper prioritization.
Produce and review audit reports to assess role and access management accuracy.
Maintain and enhance reporting frameworks to support operational excellence.
Training
Provide security and administration training to ITS team members and functional leads to ensure they are equipped to effectively use Workday, its features, and provide secondary support.
Qualifications:
3-5 years of Workday Platform experience required
3 years of experience in Workday security administration, including the design and configuration of security groups and roles
1-3 years of Workday report-writing experience
1 year of experience working with Workday EIB, RaaS and Web Services
Strong proficiency in Workday ERP functional products (HCM, Finance, Payroll and/or Student) and Workday's business process framework
Workday Prism experience preferred
Experience with business intelligence tools such as Power BI and the Microsoft Office suite
Experience with data governance and reporting and/or integration processes, procedures, and best practices
Demonstrated ability to build and modify custom Workday reports, dashboards, and calculated fields
Experience in troubleshooting, root-cause analysis, and providing solutions for security and business process-related issues
Workday certification in Workday Student, Workday Financial, Integrations, Security, Reporting and/or HCM strongly desired
Previous experience in an information technology environment
Previous experience in higher education a plus
Workday Implementation experience with other Workday modules such as Workday Student Journeys, Adaptive Insights, Learning, Prism, and Extend a plus
Experience with query languages: SQL, WQL a plus

Education :
- Bachelor’s degree in technology field or commensurate professional experience
Working Conditions:
On-campus work preferred; remote and hybrid work arrangements will be considered upon request
Some occasional travel to Workday training and annual Workday Rising Conference
May require occasional evening and/or weekend work
