Position Overview:

The Task Management and Incident Management Support Specialist will provide critical support to the J62L Office of the Chief Engineer (OCE) by managing and monitoring tasks, incidents, and related documentation. This role is essential for ensuring that all tasks assigned to the OCE are tracked, documented, and completed within prescribed timeframes. The specialist will utilize tools such as the Task Management Tool (TMT) and SharePoint to monitor, manage, and report on tasks and incidents, ensuring timely and accurate responses to internal and external requests.

Key Responsibilities:

  1. Task Management:

  2. Collect, input, and track tasks assigned to the OCE using the Task Management Tool (TMT) and SharePoint Task Tracker.

  3. Monitor the TMT and SharePoint Task Tracker daily to ensure tasks are up-to-date and progressing towards completion.

  4. Monitor the OCE mailbox regularly to capture updates to taskers, other correspondence, and relevant communications.

  5. Monitor, track, and respond to J62L tasks in the Program Executive Office (PEO) tracker

  6. Read, review, and analyze incoming taskers, memos, submissions, and reports to determine their significance.

  7. Distribute tasks and relevant information to appropriate personnel promptly, ensuring actions are completed within prescribed deadlines.

  8. Generate new taskers as required based on the analysis of the incoming information.

  9. Consolidate and prepare documentation, briefings, and reports for government review and approval.

  10. Maintain daily updates to the TMT Tasker Spreadsheet and the OCE Task Tracker to reflect the current status of all tasks.

  11. Draft responses to taskers, ensuring accuracy, completeness, and alignment with OCE objectives.

  12. Assist OCE personnel in coordinating responses to taskers and other required actions.

  13. Document and maintain up-to-date processes and procedures related to task management.

  14. Ensure that all taskings are regularly updated and reflect current status and progress.

  15. Develop and maintain the OCE Tasker and TMT Directorate Policy Letter (DPL) and/or Standard Operating Procedure (SOP), updating them quarterly at a minimum and as needed.

  16. Coordinate with key leadership on any “hot” items that need to get approval or sent out to supervisors

Key Deliverables:

  1. TMT Tasker Spreadsheet Updates (Daily): Ensure daily updates to the TMT Tasker Spreadsheet reflecting the status of all tasks.

  2. Monitor and respond (Daily) to TMT requests: Maintain daily updates to TMT to ensure accurate tracking of all tasks.

  3. OCE Tasker and TMT DPL/SOP (Quarterly/As Needed): Develop and update the Directorate Policy Letter and SOP on a quarterly basis and as required.

  4. Draft Responses to Taskers (As Required): Provide timely and accurate draft responses to taskers, ensuring alignment with OCE objectives.
