Job Overview:

Dedicated and professional Human Resources Associate 3 for Front Office Operations. This role is critical as it is often the first point of contact for both visitors and employees, ensuring a welcoming and efficient front desk operation. It requires exceptional patience, punctuality, and adherence to company processes. The ideal candidate will partner with security on badge management, documentation and communications pertaining to the department, gathering necessary data/ reports and coordinating with different departments to fulfill assigned tasks understand the importance of confidentiality, and be a quick learner.

Essential Responsibilities:

  • Front Desk Management:

  • Greet and assist employees and visitors with a warm and professional demeanor.

  • Manage the front desk area, ensuring it is always neat and organized.

  • Answer and direct phone calls, emails, and inquiries promptly and accurately.

  • Visitor and Employee Coordination:

  • Partner with security to manage badge issuance and ensure all visitors are properly documented.

  • Verify visitor credentials and ensure compliance with security protocols.

  • Assist employees with front desk-related inquiries and provide relevant information.

  • Process Adherence:

  • Follow established procedures for front desk operations and security protocols.

  • Maintain confidentiality and handle sensitive information discreetly.

  • Support HR processes and initiatives as needed.

  • Time Management and Attendance:

  • Exhibit excellent punctuality and maintain a consistent attendance record.

  • Manage time effectively to balance front desk responsibilities with other tasks.

  • Learning and Development:

  • Demonstrate a strong interest in learning and growing within the Human Resources field.

  • Participate in training sessions and HR-related projects to enhance skills and knowledge.

  • Professional Growth: Demonstrate a keen interest in growing within the HR field

    Additional Responsibilities:

  • As assigned by the Senior Manager

    Specific Knowledge, Skills and Abilities:

    • Outstanding communication and interpersonal skills, with the ability to interact effectively with diverse groups of people.
  • Excellent attention to detail and organizational skills, with the ability to multitask and prioritize tasks efficiently.

  • Strong problem-solving abilities and adaptability, with a proactive approach to addressing challenges.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR-related software (e.g., HRIS systems)

    Preferred Education, Experience and Licenses:

  • Minimum 2 years’ solid experience in a Human Resources or customer facing position

  • High school diploma or equivalent required. Additional qualifications in Human Resources , warehouse management, or a related field are a plus .
