Description of Work Unit

Founded in 1870, Colorado State University is among the nation’s leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students. The Colorado State University Department of Athletics sponsors 16 men’s and women’s intercollegiate sports and competes as a member of the NCAA Division I- FBS and the Mountain West Conference. Position Summary

The Assistant Business Manager ensures that financial tasks and responsibilities, including but not limited to, purchase requisitions, internal orders, transfer of funds, procurement card transactions, monthly and year-end reporting, recruiting/recruiting travel authorizations and reimbursements, are appropriately and properly processed and recorded in compliance with Generally Accepted Accounting Principles ( GAAP ). This position works with the Senior Associate Athletic Director for Business Operations to ensure adequate internal controls are installed and that substantiating documentation meets or exceeds internal and external audits.

Required Job Qualifications

  • Bachelor’s degree required, preferably in Business, Finance, Accounting, Business Management/Operations, Economics, Organizational Management/Development, Sports Administration/Management, or any other field related to responsibilities and duties.

  • Minimum of 1 year of experience in NCAA /professional sports

  • Minimum of 1 year of professional experience in cash management and reporting including account reconciliation, interpretation of financial data, and creation of annual budgets

  • Experience with Kuali Financial System, Oracle, and TMS (or similar systems)

  • Strong computer skills, especially Microsoft Excel and Word

  • Solid understanding of intermediate accounting concepts and ability to generate, review, verify, and reconcile financial reports and systems

  • Proven ability as a self-starter and problem solver

  • Excellent verbal and written communication skills

  • Ability to multi-task and meet deadlines

  • Ability to prepare and present revenue/expense reports

  • Ability to interpret and analyze data

  • Ability to manage priorities, prioritize tasks, and meet deadlines

Preferred Job Qualifications

  • Master’s Degree in Business, Finance, Accounting, Business Management/Operations, Economics, Organizational Management/Development, Sports Administration/Management, or any other field related to responsibilities and duties.

  • Experience with Colorado State operating systems including: Kuali Financial System, Oracle, Talent Management System, TimeClock Plus Manager, and Ticket Office management system

  • Exceptional customer service skills

  • Passion for sports

  • Knowledge of NCAA policies, procedures and regulations

Job Duty CategoryFiscal Operations and Quality Control

Duty/Responsibility

In conjunction with the Senior Associate Athletic Director for Business Operations, provides exemplary support to coaches and staff in the Athletic Department in the areas of fiscal operations, including but not limited to:

  • Based on professional knowledge, experience, and discretion, analyze the effects of changing financial needs and propose changes to the Senior Associate Athletic Director for Business Operations

  • Prepare, execute, reallocate financial documents within Kuali Financial System including direct purchases, university credit card purchases, internal orders, work order authorizations, journal entries, accruals, requisitions, and deposits

  • Ensure that all journal entries, work papers, reports and work processes are thoroughly documented and that proper files are maintained in accordance with the University’s record retention policies

  • Create monthly reports for management and provide analysis of findings, including but not limited to, ticket revenue reconciliation and credit card clearing reconciliation

  • Coordinate signatures, tracking and completion of Official Function Forms for internal units

  • Manage business activities for all athletic camp/clinics relating to financial recording, purchases, expenditures, reconciliation, and staffing

  • Work with CSU Procurement services to create purchase requisitions and purchase orders in compliance with State and CSU purchasing policies, initiating RFP bid processes as required Procurement card approval duties

  • Oversee ticket recon and credit card recon for department

  • Interacting daily with coaches and staff to identify needs and deadlines and responding in a positive and efficient manner to assist in all areas of the department mission.

  • Maintaining dialog with supervisor and staff members keeping them informed of essential information.

  • Ensures expenses comply with University policies and guidelines.

  • Communicates with NCAA Compliance office to insure all transactions comply with NCAA rules and regulations.

  • Movement of applicants through TMS

  • Position creation and posting for approval in TMS

  • Approval of bi-weekly hour payroll in Time Clock Plus

  • Preparation of offer letters
