Description of Work Unit

The Colorado State University System office is located in Denver, Colorado. The CSU System is comprised of CSU in Fort Collins, CSU Pueblo, and CSU Global. The System office is home to initiatives representing more than one campus within the System including the CSU Spur campus.

About the Spur Campus:The CSU System, along with its partners, is standing up three buildings focused on water, food and agriculture, animal health, and sustainability at CSU Spur at the National Western Center ( NWC ). Within the Spur buildings, CSU will conduct research and convene experts from around the globe; students of all ages will engage with science and technology, and have opportunities for exploratory learning, transforming their thinking about food, water, and health and the careers available in these fields. Partners will participate in programming the space and bring evolving content to the year-round campus. These facilities include laboratory space, classrooms, public education spaces, outdoor spaces, a flexible theater, a rooftop greenhouse and more! All three facilities are targeting LEED Gold, and their operations should reflect the state-of-the-art in sustainability and healthy building operations.

Position Summary

This position serves as Assistant Manager of Operations and has responsibility for supervising and achieving the most efficient and timely objectives for processing workflow and independently assessing and prioritizing incoming operations work. Serves as support of the operational financial and budget process. Handle all staff and tenant requests relating to building access cards and be the main point of contact for guest space room reservation and reviewing each room after use. This position will play a pivotal role in the emergency evacuation training and yearly drills. This position will also collaborate to ensure CSU’s goals of meeting LEED , STARs, sustainability are tracked and met.

Required Job Qualifications

  • Bachelor’s Degree.

  • Minimum of three (3) years of commercial or institutional real estate or property management experience.

  • Demonstrated experience assisting in the preparations of budgets, CAM reconciliations, perform numerical and financial calculations and other types of related financial reports

  • Demonstrated experience with sustainable and healthy building operations including energy and water efficiency, waste diversion, etc., including tracking and reporting building performance

  • Proficiency with Microsoft Office Suite including Outlook, Excel, Word.

  • Self-motivated and have excellent time management with the ability to work in a fast-paced environment and meet deadlines.

Preferred Job Qualifications

  • At least five (5) years of commercial or institutional real estate or property management experience.

  • Previous supervisory experience

  • Excellent verbal and written communication skills

  • Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors, peers, and the public.

  • Experience in operations of facilities with LEED , Fitwell, WELL Building, or other sustainability or health-related rating

Essential Duties

Job Duty CategoryDaily Building Operations

Duty/Responsibility

  • Day-to-day interaction with CSU staff working at Spur, as well as external tenants

  • Assist with the management and development of all property personnel

  • Coordination of facility maintenance and cleaning issues and requests

  • Disperse memos/communications to staff, facility users, and tenants regarding events, operations, campus sustainability efforts, and more

  • Handle all calls regarding maintenance, cleaning or any problem with tenants or vendors that may arise

  • Distribute and follow up on work orders to appropriate staff

  • Assist General Manager with oversight of building operations contracts and vendors to maintain Class-A operations

  • Create a good working relationship with CSU teams and external tenants, understand their work and be able to proactively address any facilities issues/concerns

  • Handle all staff and tenant requests relating to building access cards

  • Assist General Manager as necessary with warranty, repairs, tenant improvement and capital projects

  • Assist General Manager with living space room reservations and ensure proper accounting

  • Assists General Manager with training and motivating, all on-site staff in order to achieve operational goals of assigned property. This includes new employee indoctrination, instructing and advising on-site staff of employee procedures and guidelines as directed by the General Manager

  • Give CSU Spur Campus tours to the public as needed

  • Assist with coordination of events from the operations side, including providing operational information to Events team, and some event set up and breakdown as needed

  • Assist with annual budget and year-end reconciliations

  • Maintain insurance certificates for vendors, tenants and events

  • Assist with tracking and billing of living space users

  • Assist with managing living space check-in/check-out for guests and students

  • Assist with ensuring appropriate license and inspections are in place for all Spur spaces, including café and teaching kitchen

  • Assist with tracking number of monthly parkers for proper billing

  • Maintain access card database

  • Assist General Manager with reporting requirements for local and state reporting requirements, and for AASHE STARs program, including energy and water use, waste streams, etc.

  • Assist in conducting occupancy surveys for reporting

  • Assist GM with facilitating advisory discussions for building and campus performance improvement

  • Assist in public communications about CSU Spur’s sustainability features

Duty/Responsibility

  • Collaborate with General Manager to ensure the fire/life safety program is in place, complete annual fire drills, staff training and warden training. Assist with directing all emergency procedures including but not limited to:

  • Establish and execute emergency plans and practice drills

  • Monitor emergency equipment

  • Lead and/or assist with evacuations, life safety alarms as deemed reasonable and prudent

  • Act as fire/life safety director while assisting emergency authorities and response teams

  • Assist with informal supervision with third-party vendors by assigning tasks

  • Alternate with General Manager as after hour emergency on-call
