Description of Work Unit
Business and Financial Services exists to maintain and improve the processes which protect the financial integrity of Colorado State University, to provide periodic financial information to various users, to support University financial system users, to monitor transaction flow to assure compliance with Federal, State, and University laws, regulation, and policies, to analyze and interpret financial data as part of the overall control of University fiscal goals and concerns, and to formulate financial statements and reports in accordance with applicable laws and regulations.
Position Summary
This position reports directly to the Executive Director/University Controller of Business & Financial Services. This position is responsible for providing high level administrative support to the Executive Director/University Controller as well as program support and administrative operations for Business & Financial Services. This position is the HR Liaison for the department and responsible for all human resource related duties as well as administrative support for hiring and onboarding of new employees.
Required Job Qualifications
High School Diploma (or GED ) plus a minimum of five years progressively responsible administrative assistance experience
Demonstrated proficiency with Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint and Teams)
Demonstrated experience and skills in providing excellent customer service
Strong critical thinking skills

Demonstrated organizational skills and attention to detail, including demonstrated ability to prioritize workload
Demonstrated excellent communication skills
Demonstrated experience managing confidential information
Knowledge of enterprise systems including financials, human resources, and contract management.

Manage the calendar and scheduling for the Executive Director/University Controller
Coordinate and manage travel arrangements and reimbursements for the Executive Director/University Controller
Assist with special assignments and projects including annual external audit
Act as liaison between Executive Director/University Controller and internal and external constituents including university leadership and department direct reports, maintaining strict confidentiality
Provide budget and tracking support
Develop and maintain filing and record tracking systems to facilitate document storage and retrieval for Executive Director/University Controller
Organize and track contracts received for University Controller’s signature
Create and maintain department organizational chart

Analyze, evaluate, develop, and implement work processes to effectively achieve program efficiency and needed services for Business & Financial Services ( BFS )
Create, build, and maintain strong business relationships with various internal and external stakeholders and entities
Apply knowledge of BFS , university and state policies, procedures, and guidelines to resolve problems, answer questions, and provide information
Identify and implement systems, policies, procedures, and guidelines to increase efficiency, enhance communications, and improve organization for the department
Review and analyze requests that come through the office and use judgement determining where to assign issue
Coordinate travel arrangements for BFS employees
Create, review, submit and monitor travel authorizations and reimbursements, invoices, and purchase requests for department
Manage numerous aspects of daily business for the department including handling student employee payroll and leave management in TimeClock Plus, ordering supplies, and coordinating annual storage and shredding of department files
Manage and execute all hospitality and official functions for the department
Develop and maintain filing and record tracking systems to facilitate document storage and retrieval for department and HR documents

Provide guidance and administrative support for staffing, recruiting, hiring, and onboarding efforts for Business & Financial Services ( BFS )
Serve as liaison between BFS , Human Resources and Office of Equal Opportunity · Establish and maintain processes and procedures and provide guidance for Administrative Professional (AP) staffing, recruiting, and hiring for BFS
Collaborate with hiring authorities to review and approve job announcements, conduct recruitment activities and establish search timelines for AP open positions
Serve on department Search Committees as a recruitment initiator, applicant manager and administrative support
Assist supervisors with creation and updates of employee position descriptions · Coordinate the administration of performance evaluation and performance planning process for staff
Participate in Human Resource trainings and other appropriate professional development events to remain aware of current and relevant policies and procedures
Coordinate onboarding for all new employees including new hire paperwork, I-9 Employment Eligibility Verification and data in Oracle
Process promotions, terminations, retirements and transfers for all employee types
Assure correct and timely salary payments are made to all department staff
Maintain confidential and accurate personnel records, files and reports for all BFS employees
