Your Specific Responsibilities:

This Administrative Assistant I position is responsible for providing clerical support for the Area 15 HIV/AIDS program, contracted providers, and clients. The employee will work directly with the Ryan White Program and will be a liaison with other HIV/AIDS and public health programs. The position is under the direct supervisor of the Public Health Services Manager (Area 15 HIV/AIDS Program Coordinator). The incumbent will m aintain professional working relationships with departments, agencies, and community members.

Examples of work:

  • Work in reception area, greet customers and direct them to the proper program.

  • Answer telephone and direct calls.

  • Perform general clerical support services and process a variety of routine correspondence.

  • Receive, save, and appropriately route incoming electronic faxed documents.

  • Assist in scheduling and organizing meetings, workshops, and classes as needed.

  • Attend Area 15 and designated health department staff meetings, take notes/minutes, type notes/minutes for distribution.

  • Data entry into various electronic health record systems for client services provided by HIV/STD departments and subcontracted agencies.

  • Perform client eligibility and insurance verification utilizing FMMIS and AVAILITY.

  • Provide basic counseling and education on various HIV/STD/viral hepatitis topics.

  • Inventory and organization of office supplies.

  • Process invoices, generate purchase orders, complete My Florida Marketplace training and process orders for HIV/AIDS programs.

  • Pick up or receive laboratory specimens from contracted providers or community-based organizations for processing.

  • Perform special assignments, research, and report preparation.

  • Organize condom pickup/distribution.

  • Complete timesheet and associated reporting.

  • Complete job related and agency mandatory trainings.

  • Other duties as assigned.

    Required Knowledge, Skills, and Abilities:

  • Knowledge of office procedures and practices.

  • Knowledge of the principles and techniques of effective communication.

  • Skills in the use of Microsoft Office to include Word, Excel, PowerPoint, Outlook.

  • Ability to effectively communicate verbally and in writing.

  • Ability to understand and apply applicable rules, regulations, policies, and procedures.

  • Ability to deal with the public in a tactful and courteous manner.

  • Ability to perform basic arithmetical calculations.

  • Ability to work independently.

  • Ability to utilize problem-solving techniques.

  • Ability to plan, organize and coordinate work assignments.

  • Ability to establish and maintain effective working relationships with others.

    Qualifications:

    Minimum :

  • Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.

  • Two Years clerical experience

  • Two years customer service experience

  • Travel may be required within area 15

    Preferred:

  • Associate or higher degree in health science or related field

  • Bilingual or multilingual in Spanish and/or Haitian Creole
