Sr. Payroll Analyst -10044

The Sr. Payroll Analyst is responsible for overseeing and managing payroll operations for our organization. You will ensure accurate and timely processing of semi-monthly payroll transactions while providing expert guidance on payroll-related matters to employees and management. This role requires a high level of attention to detail, compliance with payroll regulations, and effective communication with employees and external stakeholders.

Key Responsibilities:

Payroll Processing & Employee Support: 40%

  • Process payroll for employees on a regular schedule, ensuring accuracy and compliance with company policies and legal requirements.

  • Review and verify payroll data entries, including salaries, wages, bonuses, commissions, and deductions.

  • Calculate and process adjustments related to employee payments, such as overtime, leaves of absence, and terminations.

  • Validate payroll records to determine accurate wages and salaries used as the basis for workers' compensation premium calculations.

  • Prepare and distribute payroll reports to management and cross functional departments as needed.

  • Collaborate with Human Resources to ensure employee data integrity and resolve payroll-related issues.

  • Respond to employee inquiries regarding payroll matters, including deductions, taxes, and benefits contributions.

  • Conduct payroll training sessions for new hires and existing employees to ensure understanding of payroll processes and policies.

    Audit Compliance & Internal Regulation: 30%

  • Assist with payroll, workers comp and other internal audits and provide supporting documentation as necessary.

  • Maintain detailed audit trails and documentation of payroll transactions, adjustments, and corrections for accountability and auditing purposes.

  • Evaluate payroll processes and internal controls to identify weaknesses, recommend improvements, and ensure the prevention of errors and fraud.

  • Prepare and distribute payroll audit reports summarizing findings, discrepancies, and recommendations to management and stakeholders.

  • Investigate and resolve discrepancies in payroll records and premium calculations, coordinating with payroll administrators and insurance providers.

  • Stay updated on federal, state, and local payroll tax laws and regulations to ensure compliance.

  • Prepare and submit payroll tax filings, including quarterly and annual reports (e.g., Form 941, W-2, W-3) in accordance with regulatory requirements.

  • Coordinate with finance and legal departments to address payroll compliance issues and resolve discrepancies.

    Payroll System and Generalist Functions: 30%

  • Identify opportunities for process improvements and system enhancements to streamline payroll operations and increase efficiency.

  • Collaborate with IT and HRIS analyst on payroll system upgrades, testing, and implementation of new payroll-related technologies.

  • Conduct new-hire orientations and assist with Employee open enrollment.

  • Manage company lease program and Vehicle purchase program.

  • Assist with other HR projects as assigned.

    Qualifications:

  • Bachelor’s degree in accounting, Finance, Business Administration, or a related field (or equivalent work experience).

  • 8+ years of proven experience as a Payroll Analyst or in a similar role, with a strong understanding of payroll principles and practices.

  • Certified Payroll Professional (CPP) designation preferred.

  • Proficiency in payroll software and systems (e.g., ADP WFN) and advanced knowledge of Microsoft Excel.

  • Excellent analytical skills with the ability to interpret data and resolve complex payroll issues.

  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.

  • Excellent communication skills, both written and verbal, with the ability to effectively interact with employees and stakeholders.

  • Ability to maintain confidentiality and handle sensitive payroll information with discretion.

    Preferred Qualifications:

  • Certified Payroll Professional (CPP) designation or similar certification.

  • Experience with multi-state payroll and familiarity with international payroll processes.

  • Knowledge of payroll accounting principles and understanding of general ledger reconciliation.

    Working Conditions:

  • This position typically operates in a standard office environment.

  • Occasional overtime or weekend work may be required during peak periods or payroll deadlines.

Base Salary Range

$69,390 - $99,220, depending on experience.
