STULZ Air Technology Systems, Inc. Project Coordinator in Frederick, Maryland

Summary:

Support STULZ Key Accounts internally - including processing orders, maintaining communication for scheduling, preparing customer/rep correspondences, and resolving customer issues/complaints to ensure customer satisfaction. This position reports directly to the Order Processing Manager and requires self-direction and organizational skills.

Essential Duties and Responsibilities:

Primary Responsibilities

  • Manage Cyberselect data requirements specific to Key Account quotes
  • Facilitate meetings with KAMs and reps that are linked to Key Accounts - as required
  • Manage internal SAP (ERP) system requirements/data specific to Key Account orders
  • This includes OPD Specialist Level I duties as pertaining specifically to Key Account orders
  • Manage external customer contact/schedule as required in support of Key Account Manager or Rep
  • Facilitate bi-weekly Hot Projects Meeting for sales team; manage follow-up
  • Freight quote requests and re-consignments requests as needed - specific to Key Accounts
  • Manage project plans
  • Support KAM, RSM, NSM as needed with large project/key account management duties as assigned by Client Services Manager.

Secondary Responsibilities - Order Processing Specialist Level I Coverage as required

  • Enter ACCURATELY for all orders the following information:
    • Pricing (Net, List, Commission Splits, Partners, Customer Cards, Tagging, Product Hierarchy, Header Information, etc.)
    • Product detail configurations for options required/ordered
    • Ensure proper documentation (PO, Project Information Sheet, Credit Application, etc.) is attached for contracts to review
    • Proper shipping requirements are noted in the order (SandH, Customer Arranged, etc.)
    • Communicate effectively/concisely with rep force and customers (both internal/external) in regards to order status, shipping information, and change requests.
  • Develop/maintain professional relationships internal/external to the company that are required for supporting the Order Processing Department (BOM configuration, Applications, STULZ Representatives, STULZ End-site users, Regional Sales Managers, Key Account Managers, Shipping, STULZ Carriers, Accounting, Engineering, Purchasing, Planning, etc.)
  • Additional duties as assigned by client services manager: to ensure excellent customer service and Key Account support

Qualifications

To perform this job successfully, an individual must be very detail-oriented, be able to perform each essential duty to a high standard of satisfaction, and possess good customer relations/people skills as well as excellent verbal and written communication skills.

Education/Experience:

This position requires a high school diploma or equivalent and 2-5 years of experience in the field or in a related area. Familiarity with standard concepts, practices, and procedures within the customer service/order processing field is required.

Required Skills:

  • 45-55 WPM - required
  • Must have the ability to follow and give written and verbal instructions - in English
  • Must have the ability to speak effectively with co-workers and customers to perform daily duties
  • Must have the ability to multitask throughout the day and still meet the daily objectives as directed
  • Must have basic Excel/Word skills - including an understanding of basic formulas in Excel
