Job Description

Position Summary

Brookfield Properties has an immediate need for an Administrative Assistant.

This position serves as a coordinator by providing administrative support and facilitating overall communication for the Leasing team. Performs standard and confidential secretarial duties requiring fundamental experience, skill and knowledge of organization policies and practices. Responsible for the creation of communication and/or presentation pieces, either through formal direction from management or individual initiative. Provides traditional administrative reports in the areas of word processing, travel arrangements, meeting schedules. Receives moderate supervision; maintains good communication and organizational skills; exhibits accuracy when working with details. Maintains proper liaison between department heads, managers, employees and retailers.

Responsibilities:

  • Compiles and maintains site and marketing materials along with tenant information in team's shared drive directory ensuring that materials are continually updated

  • Prepares lease proposals using Salesforce in a timely and accurate manner

  • Obtains current marketing packages for all centers with leasing opportunities; maintains a stock of such materials and forwards packages to prospects and tenants as requested

  • Obtains various lease exhibits in a timely manner as requested from a variety of sources both within and outside of organization

  • Updates and distributes Leasing Activity and related Reports (i.e. monthly sales reports, pipeline reports and rent rolls)

  • Assists in daily business activity of Leasing team, which includes general office work, answering phones, and word processing, preparing expense reports and sorting and distributing mail.

  • Coordinates the efficient operation of the department by maintaining general and confidential files, ordering supplies, maintaining manuals and performing all other relevant duties

  • Coordinates and completes necessary business reports

  • Researches, prepares and edits reports and presentations

  • Orders office supplies, schedules and coordinates meetings and conference calls, appointments and travel

  • Other duties as assigned

    Qualifications:

  • High School Diploma or GED required

  • 2 years of experience in an administrative support role or related experience in commercial real estate

  • Proficiency in Microsoft Word and Excel as well as email

  • Strong understanding of Salesforce, Adobe and Photoshop preferred

  • Highly organized and detail oriented

  • Excellent business writing, business math and verbal communication skills
