Job Description:

Manage and coordinate all aspects of GatorNights programming.

  • Responsible for management and coordination of evening programming on and off-campus including but not limited to program development, program management, risk management, and on-site event management

  • Responsible for coordinating space reservations, securing necessary event supplies and rentals for each event

  • Responsible for developing a strategic schedule for events for academic year that aligns with office mission, supports initiatives, and encourages co-sponsorship between organizations

  • Manage and implement plan for effective area communications; ensure messaging and image are aligned with office’s mission and values

  • Responsible for creating initiatives designed for individual or group participation that encourages growth and sustained participation

  • Coordinate with other departments across campus including but not limited to the Division of Student Life, University Police Department, event venues, academic units and other campus partners

  • Analyze data, and compile reports to support or inform management decisions and unit goals.

  • Ensure student participation and input in all phases of program development and implementation

  • Interpret and ensure compliance with appropriate university policies and guidelines related to general regulations and procedures, students, student organizations, safety, and event management

  • Assist in the development and implementation of appropriate policies, procedures, and guidelines for evening programming and related processes

  • Responsible for financial management including planning and monitoring budgets, appropriate expenditure controls, record keeping, and compliance with financial guidelines and procedures

  • Manage all aspects of performer contracting process (e.g. contract negotiation, preparation, and management)

  • Responsible for developing and maintaining current information on performers and agencies

  • Provide supervision, training, and support to the GatorNights student staff.

Assist the Office of Campus Engagement in its efforts to provide support, advising, training, and oversight to ensure effective and comprehensive campus programs, events, and traditions at UF.

  • Assist with initiatives to develop and support large scale campus events and traditions through the Signature Events program.

  • Assist with developing and maintaining UF traditions, event creation and implementation, and on-site event management.

  • Support Student Government Productions, ACCENT Speaker’s Bureau, Class Councils and other campus events and initiatives as needed.

  • Advise other designated student organizations and committees in the development and implementation of social and educational programs such as concerts, lectures, films, and special events for UF students.

  • Assist with major campus-wide events as assigned (e.g., Homecoming Events, Gator Growl, Student Government Events, etc.).

  • Advise student leaders in all aspects of event programming including but not limited to idea development, budgeting, planning, advertising and promotion, program implementation, and program evaluation.

  • Interpret university policies for students and student organizations relating to the management of programs, contracts, safety, liability and risk management, and fiscal management.

  • Serve as a resource for event planning and management for students, staff, and faculty as needed.

  • Assist with budget planning, monitoring, and reporting for events.

  • Assist in developing and maintaining collaborative relationships in programming efforts with other UF departments, including academic departments.

Assist with administrative functions of the Office of Campus Engagement.

  • Develop, conduct, and analyze research and assessments for various programs and services of the Office of Campus Engagement including but not limited to programming needs assessment, effectiveness of programs and services including outcomes assessment and student satisfaction.

  • Contribute to the development and implementation of a comprehensive marketing and promotions strategy for the services and programs of the Office of Campus Engagement.

  • Assist with budget planning and reporting. Maintain accurate and up-to-date financial records and ensure proper procedures, controls, and financial guidelines for all areas including organization expenditures.

Contributes to the Division and University through active participation on committees and division-wide initiatives (example opportunities: conduct committee, First Year Florida, etc); and, other duties as assigned.

This position will report to the Assistant Director of Campus Events and Traditions. General direction will be rendered through established goals and expectations, on-going input and feedback via regular communication with employee on a daily basis, and regular performance reviews.

Directly supervises: Student Assistants

40 hours per week, with additional time required during peak periods such at the beginning and end of each semester. Frequent night and weekend hours are required.

Expected Salary:

$48,000.00/year

Minimum Requirements:

Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and two years of relevant experience.

Preferred Qualifications:

• A Master’s Degree in Higher Education, College Student Personnel, or comparable field or a Bachelor’s in an appropriate field and 3+ (three) years relevant experience

• Demonstrated experience in advising students and working with event planning and student organizations at the college or university level

• Demonstrated planning, organization, and communication skills (verbal and written).

• Demonstrated ability to handle multiple projects or tasks simultaneously.

• Demonstrated knowledge and proficiency with computers and basic software applications.

• Demonstrated experience working with a campus activities board.

• Demonstrated knowledge and skills in marketing and promotions.

• Demonstrated knowledge and experience in budget development.
