Provides administrative support to residential communities and corporate office staff. Job Cost: Serve as a business partner to capital improvement, accounting, finance and operations staff. Coordinates tracking, documentation and reporting processes for development, construction, and renovation projects. ESSENTIAL JOB DUTIES * Review a high volume of invoices for assigned properties, ensuring accurate approval and coding and assist internal customers with questions on routing and approval * Weekly check runs * Field vendor inquiries regarding payments * Garbage invoice workflow & contract review * Assist with monthly processing of Resident Security Deposit Return checks * Post daily utility autopayments; process phone/cable invoices * Consistently provide excellent customer service to internal and external customers * Provide financial support to owner including payment of invoices * Review project invoices in the payable system, help re-route as needed * Enter job cost contract and code information on invoices * Communicate with project managers * Project contract review for discrepancies * Project revision approval * Create change orders * Other duties may be assigned to meet business needs QUALIFICATIONS EDUCATION AND EXPERIENCE: * Associate (2-year) degree in Accounting or related field, 2 years of financial accounting experience, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job * Experience in the multi-family industry SKILLS AND ABILITIES: * Fluent in English and skilled in oral and written communication * Ability to use tact, diplomacy and a clear, courteous manner when dealing with co-workers and the public * Decision-making, problem solving, and time management skills * Able to maintain confidentiality * Ability to handle multiple projects or tasks simultaneously with self-direction * Excellent computer skills with experience in word processing, spreadsheets, and computerized accounting systems (Yardi preferred) * Ten-key by touch required; must be fast and accurate with data entry and accounting procedures PHYSICAL DEMANDS: Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; stamina to maintain attention to detail despite interruptions; strength to lift and carry files weighing up to 10 pounds; vision to read printed material and a computer screen; and hearing and speech to communicate in-person and over the telephone.
