Job Summary

Provides purchasing support for key departments with an emphasis on delivering high quality, low cost care. Drives contract compliance and significantly contributes to supply, equipment, and purchased services savings targets. Oversees the process of procuring goods and purchased services by requesting proposals, consulting with suppliers, and reviewing price quotations. Requires skill in contract negotiation, contract management and healthcare product evaluation. Facilitates the development of contract terms and conditions, develops consignment agreements, and directs contracts to specific vendors. Provides information to other departments and suppliers regarding orders. Ensures good stewardship of organizational resources by validating the spend for supplies, purchased services, and capital equipment meet all Purchasing criteria. Uses available data to identify opportunities to reduce cost.

Job Duties:

  •  Demonstrates a commitment to providing outstanding customer service in a manner reflective of Trinity Health's mission and values, as well as standards of appearance, attitude, respect, responsiveness, courtesy, and follow through.

  •  Coordinates the procurement activities between departments and vendors utilizing consignment, blanket and standing orders, contracts, special purchase requests, and backorder resolution.

  •  Partners with departments to provide product and services suggestions (including written analysis and recommendations) to proactively propose strategies to improve supply costs.

  •  Responsible for issue resolution for assigned vendors and departments.

  •  Facilitates communication between vendor, physician, technical staff, management, and supply chain department to achieve best product value for the health system.

  •  Performs cost impact analysis, compares products and/or proposals, and assists and coordinates product conversions, deletions, and additions.

  •  Reviews, approves, and creates requisitions for supplies, capital equipment, minor equipment, rentals, leases, and other service needs.

  •  Reviews all requisitions. Acts as gatekeeper ensuring compliance to contracts and purchasing policies.

  •  Identifies contract compliance opportunities with emphasis on supplies, implants, and purchased services.

  •  Coordinates opportunities to standardize products and equipment to drive contract compliance and reduce variation in patient care.

  •  Facilitates the sourcing and buying process for supplies, capital equipment, and purchased services.

  •  Utilizes a competitive sourcing process when necessary to procure supplies, equipment, and purchased services.

  •  Communicates and collaborates with all stakeholders to develop sourcing and negotiation strategies.

  •  Maintains and administers contract management system to drive contract compliance and expiration dates.

  •  Processes purchase requisitions and purchase orders to support inventory strategies. Selects alternate vendors when required, expedites orders, and recommends inventory adjustments where appropriate.

  •  Immediately responds, according to policy, to recalls and product defects by utilization of RASMAS.

  •  Must know in detail purchasing and accounts payable information systems in order to efficiently process purchase orders.

  •  Keeps abreast of current market conditions, major developments on product availability, contract changes, and vendor changes.

  •  Participates on Trinity Health sourcing and advisory teams as assigned, to align strategies locally with the System Office.

  •  Facilitates value analysis teams and activities relative to department requests, System Office standardization efforts, and contract compliance.

  •  Coordinates product evaluations and develops statistical models to aid teams in value analysis process.

  •  Proficient user of appropriate information systems in supply chain department (ERP, MS Office, and other Ad Hoc Tools).

  •  Reviews confirmations, communicates back orders to appropriate

Education

  • Minimum: Bachelor’s Degree; or an equivalent combination of education and experience.

  • Preferred: Master’s Degree

Related Experience

  • Minimum: Three years of healthcare experience in purchasing or clinical operations.

Other Knowledge, Skills and Abilities

  • Minimum: Interpersonal skills and ability to communicate effectively with vendors and staff. Critical thinking and problem solving skills. Strong written and oral presentation skills. High level of professionalism and credibility. Ability to use Microsoft Office software; Word, Excel, PowerPoint, Visio, Etc. Internal software to include but not limited to PeopleSoft and Business Intelligence. Accuracy and attention to detail.

Computer Competency

  • Familiarity with standard desktop and windows based computer system, including email, e-learning, intranet and computer navigation. Ability to use other software required to perform essential functions.

Physical/Mental

Minimum: Ability to cope with multiple interruptions and to maintain composure while working on various projects.
