Job Summary

The Executive Assistant (EA) will contribute 20-25 hours per week supporting the CEO in managing day-to-day operations, overseeing executive tasks, and ensuring seamless workflow. This role involves handling administrative duties such as managing calendars, travel arrangements, mail handling, and inventory management, with a focus on efficiency. Proficiency with spreadsheets and data management is essential, particularly in managing the inventory of medical devices used by the company. Given the healthcare services environment, the EA will also help in coordinating patient-related logistics, ensuring compliance with healthcare regulations.

How You Will Contribute to Our Mission

  • Manage the CEO's schedule, including calendar management, meeting coordination, and preparation of materials.

  • Coordinate travel arrangements, including booking flights, hotels, and transportation.

  • Assist with the preparation of executive presentations and reports.

  • Manage incoming and outgoing mail and packages for the CEO and other team members.

  • Ensure prompt and accurate handling of important documents, contracts, or legal paperwork.

  • Maintain and monitor the inventory of medical devices (e.g., blood pressure cuffs, weight scales, exercise trackers).

  • Track inventory levels, order replacements, and ensure timely shipping of devices to patients or clinics.

  • Maintain accurate logs of inventory using Excel or other spreadsheet tools.

  • Coordinate with vendors to manage device supply and troubleshoot issues.

  • Assist in managing key operational projects, including tracking deadlines and deliverables. Track compliance materials specific to healthcare.

  • Support patient onboarding and device distribution processes.

  • Act as the liaison between the CEO and internal teams, clients, and external partners.

  • Help manage communications that require confidentiality, particularly regarding patient information and sensitive healthcare data.

    What Skills You Will Need

  • 3+ years of experience as an Executive Assistant or in a similar role.

  • Excellent proficiency in Excel and spreadsheet tools.

  • Strong organizational and time-management skills.

  • Previous experience in a healthcare setting or familiarity with healthcare operations is

preferred but not essential.

  • Exemplary communication and interpersonal skills, with a professional demeanor.

  • Ability to manage sensitive information with discretion.
