This position is responsible for supporting the Environmental Health and Safety (EHS) and Training departments by ensuring the effective communication and implementation of safety protocols and training programs. This entry-level role provides administrative assistance, including the coordination of training sessions, tracking of compliance, and maintaining safety records. The Safety and Training Assistant helps facilitate a safe and efficient work environment by assisting with safety audits, inspections, and the management of personal protective equipment (PPE). This position plays a key role in assisting with onboarding new hires, supporting safety initiatives, and ensuring compliance with safety regulations across all company operations.

ESSENTIAL DUTIES and RESPONSIBILITIESinclude the following:

Safety Program Support:

  • Assist with the implementation and monitoring of the company's safety programs.
  • Maintain safety records, including incident reports, OSHA logs, and compliance documents.
  • Schedule safety audits, inspections, and trainings.
  • Track the completion of safety training programs and certifications for all Associates, ensuring compliance with internal and external regulations.
  • Help maintain stock of personal protective equipment (PPE) and safety supplies, ensuring proper use, availability, and maintenance.
  • Conduct basic inspections of safety equipment to ensure compliance with OSHA and NFPA standards, and assist in scheduling maintenance work as needed.
  • Help coordinate and communicate EHS information to field Associates across all business units.

Training Program Support:

  • Assist in coordinating and scheduling internal and external training sessions for Associates
  • Assist in preparing and distributing training materials such as presentations, handouts, and manuals.
  • Track training attendance, completion, and compliance, ensuring all Associates meet required standards.
  • Support the development and updating of training content based on evolving standards.
  • Support onboarding by ensuring new hires complete any required training.
  • Coordinate external training sessions and certifications as needed, tracking registrations and completion.
  • Help track and monitor training reports to ensure compliance and accurate record-keeping of all certifications and training.
  • Assist with maintaining the Learning Management System (LMS) for tracking and reporting training progress.
  • Provide post-training evaluations to gather feedback and improve future sessions.
  • Collaborate with department managers to identify training needs.

Compliance and Reporting:

  • Assist in ensuring compliance with OSHA, EPA, and other applicable safety regulations.
  • Help maintain EHS metrics, including data collection, reporting, and tracking of key performance indicators (KPIs).
  • Assist with OSHA recordkeeping, ensuring accurate reporting to meet regulatory requirements.
  • Maintain and update the online Safety Data Sheet (SDS) system, ensuring Associates can access relevant safety information.
  • Support the development and maintenance of the Safety Policy Manual, performing regular updates as needed.

Administrative Duties:

  • Manage safety and training records, ensuring all documentation is accurate and up to date.
  • Assist in preparing and distributing safety communications, including bulletins, emails, and notices.
  • Help maintain the EHS and training department calendars, ensuring all events, audits, and trainings are well-organized.
  • Track inventory levels of safety supplies and place orders as necessary.
  • Ensure compliance with federal, state, and local laws, legal regulations, and recommended best practices
  • Collaborate with all Associates to uphold the company's mission and values
  • Must be able to work overtime as required

WORK HOURS:Monday thru Friday, full-time position, overtime as required

Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus.

This position works in a typical office environment. The noise level in the work environment is usually moderate.

Qualifications

SKILLS and QUALIFICATIONS

  • High school diploma or equivalent required; associates degree in Occupational Health and Safety, Environmental Science, or a related field preferred but not required.
  • Previous experience in an administrative or safety role.
  • Proficiency with computer devices (including laptops, tablets, and smart phones) and working knowledge of Microsoft Office software
  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Detail-oriented with the ability to handle multiple tasks simultaneously.
  • Ability to pass drug screening.
  • Ability to prove US employment eligibility.
