The Medical Staff Specialist is responsible for the integrity of all aspects of the credentialing cycle. The Specialist will have a working knowledge and support the Medical Staff application process and credentialing cycle and will be responsible for the accuracy of the clinical privileging database system. This position will have an understanding of the Medical Center and Medical Staff By-Laws as they apply to the application and credentialing process and will have a thorough grasp of the functioning of the Medical Staff Office. This position maintains knowledge of JCAHO Standards, NJ Department of Health and Senior Services, and other applicable regulatory standards.

Responsibilities

  • Works in conjunction with co-worker utilizing the Cactus AppCentral program, a Web-based credentialing manager, where applicants can apply on line.

  • Responsible for all the preparation, tracking of and organization of files before scanning for review by the Credentials Committee.

  • On day application is received: a. Scan required portions of file - send to Credential America (C.A.). b. Add name/dept. to 'In process' spreadsheet - date next to last name. c. Prepare file - Inserts, brown folder and green hanging folder. Last name, first name, degree, department on name tab (Red ink if e-rush). Date sent to C.A. on green hanging folder (red marker if e-rush). d. Use Cactus Manager to track all data received. If applicant is a 'hired' staff, indicate this and alert co-worker. e. Enter file into Cactus.

  • Responsible for all the preparation, tracking of and organization of files before scanning for review by Credentials Committee.

  • Upon Preparation for Credentials Meeting: a. Add names to 'Credential Meeting Log' in shared drive. Maintain log as process moves forward. b. Print Profile (click option to remove SS# and home address from printing). c. Flag any issues on scanned documents that should be noted.

  • In conjunction with co-worker, prepare files to be distributed for review prior to convening of Credentials Committee.

  • In conjunction with co-worker, coordinates with APN and PA Credentialing Committees on various new administrative processes and implementations.

  • In conjunction with co-worker, documents all actions of the Credentials Committee at their monthly meetings.

  • In conjunction with co-worker, supports the privileging process including granting of Temporary Privilege requests, additional privilege requests, etc.

  • In conjunction with co-worker, assists with entering and maintaining new physician file information (including privileges) in Cactus database.

  • To do all required follow-up correspondence after the Credentials Committee Meeting. a. For Additional Privilege requests: Must request NPDB and obtain medical license verification. b. Maintain 'in process' spreadsheet. c. If Temps are requested - Be alert to 'hired' staff which needs confirmation from HR before temps are given. i. Issue ID#s and note in Cactus. ii. Change 'applicant' to 'active' in Cactus. iii. Send notice to appropriate staff. Security should not be included in notice of new hires, as HR will handle that. iv. Give network access and note in Cactus. v. Send email to support@quantiaMD.com to notify of new staff member and note in Cactus. vi. Give info to new providers re EPIC training.

  • Reorganize file in preparation for scanning.

  • Upon approval of Board of Governors: a. Send Appointment Letters (cc Chairs and in IM also include Chiefs). b. Send all necessary correspondence from the Credentials Committee which was approved by Medical Executive Committee and the Board of Governors. c. Assign ID#s in Cactus and prepare a doctor master form.

  • Performs all other work-related duties as assigned.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.

  • Minimum of five years secretarial experience required.

  • Familiar with Roberts Rules of Order.

  • Maintains confidentiality of all Medical Staff Office business.

  • Demonstrates loyalty, reliability, tactfulness, honesty and discretion.

  • Adapts to work schedules and frequent interruptions by demonstrating the ability to be flexible.

  • Demonstrates exemplary organizational skills while setting appropriate priorities.

Education, Knowledge, Skills and Abilities Preferred:

  • Secretarial school / college graduate preferred.

  • Minimum of three years experience recording minutes preferred.

  • Three to five years experience in a Medical Staff Office preferred.

  • Credentialing, reappointment experience preferred.
