SUMMARY STATEMENT The Part-Time Testing Center Assistant administers tests for placement, faculty, external testing, and other tests as scheduled. Responsibilities include test security; explaining testing practices and policies to test takers, faculty, and staff, in compliance with the guidelines of the National College Testing Association and professional testing vendors; and entering and reporting testing data. This position provides direct support to students, as well as administrative support to the Manager of Academic Testing. Evening and weekend hours will be required. This is a part-time position for 20 hours per week. The work schedule is Monday - Wednesday 2:30 p.m. - 8 p.m., Saturday 8 a.m. - 1:30 p.m. ORGANIZATIONAL RELATIONSHIPS: A. The Part-time Testing Center Assistant reports directly to, and is responsible to, the Manager of Academic Testing. B. The Part-time Testing Center Assistant coordinates most closely with the test takers (both students and community members), professional testing vendors, dss, faculty, staff, all academic departments, registration, advising, and the Manager of Academic Testing, along with various outside educational institutions and testing agencies. ESSENTIAL DUTIES: A. Administers and proctors tests 1. Completes and successfully pass mandatory training and certifications on a periodic basis to become eligible to proctor testing for vendors. 2. Schedules and administers tests for professional testing vendors and community workforce candidates for other departments. 3. Schedules and administers tests for other colleges. 3. Administers tests for faculty requesting tests for students enrolled in classes. 4. Administers placement tests to new and prospective students. B. Ensures that proper testing procedures are followed within the testing center 1. Explains testing procedures to test takers, faculty, and staff. 2. Ensures each tester taker signs in and has the appropriate identification. 3. Monitors test takers and provides assistance when necessary including, but not limited to, taking corrective action. 4. Collects and files tests appropriately, ensuring test security in accordance with testing center procedures. C. Maintains the student information system databases 1. Inputs and/or updates assessment scores and other data into the student information system database for test takers. 2. Retrieves data from the student information system database /Academic Testing Center files as needed and disseminates information to appropriate individuals in Registration, Advising, Director of Developmental Education & Adult Literacy Services, and other personnel as needed. D. Collects, organizes, and reports testing data 1. Collects Testing Center usage data from student sign-in information and other sources. 2. Enters and organizes daily testing data to report numbers of testers, types of tests, and other pertinent testing data. 3. Prepares monthly testing data summary report for the Manager of Academic Testing and other personnel as needed. E. Provides administrative assistance to the Manager of Academic Testing 1. Serves as information contact for the Academic Testing Center as workload dictates. 2. Orders, organizes, and maintains office supply inventories and testing materials for the Academic Testing Center. 3. Participates in training sessions which advances professional development and services for the Academic Testing Center and college. 4. Provides support and direction to student workers employed by the Academic Testing Center. 5. Performs other duties as assigned. F. Provides direct support for test takers, faculty, and staff 1. Handles inquiries and requests from test takers and refers them to appropriate departments as needed. 2. Collaborates with testing vendors, faculty, and staff to provide effective testing services. G. Possesses technical proficiency in a wide variety of software tools and basic network infrastructure 1. Manipulates remote administration software to monitor and ontrol 80+ workstations. 2. Manipulate cloud applications including Microsoft 365. 3. Masters a wide variety of vendor-specific testing platforms. 4. Runs reports from various vendors and organizes them in a common file format. 5. Understands the basic infrastructure of client/server technology required for Pearson VUE and Praxis to better troubleshoot minor technical issues that arise. 6. Troubleshoots basic networking problems (loss of Internet connectivity, for example) in the absence of the IT help desk (after hours or on weekends). 7. Troubleshoots a variety of vendor-specific software issues that may arise. Requirements EDUCATION AND EXPERIENCE Associates Degree required; Bachelors Degree preferred. Three years experience in working with the public, preferably in higher education; administrative experience and computer knowledge; or any combination of experience and training which provides the required knowledge, skills, and abilities. SKILLS AND ABILITIES Ability to communicate effectively and to establish good working relationships with staff, students, and outside agencies; proficiency in Microsoft Office applications; ability to embrace and learn new technologies, integrated computerized systems, and trouble-shoot software problems; ability to organize and prioritize work requests to complete tasks in a timely manner with minimal supervision; ability to make appropriate decisions independently; and ability to attend to details.
