Hagerstown Community College Coordinator of Registration in Hagerstown, Maryland

SUMMARY STATEMENT

The Coordinator of Registration will oversee day-to-day operations of credit course registration functions, as well as supervise the Registration Assistants. This position will assist the Director of Advising, Registration and Student Support. 

 

ORGANIZATIONAL RELATIONSHIPS A. The Coordinator of Registration reports directly to and is responsible to the Director of Advising, Registration and Student Support.

 

B. The Coordinator of Registration coordinates most closely with Registration Assistant, Student Support Advisors, Early College Department, Academic Affairs, Information Technology, college faculty and staff to include Financial Aid and Records, Finance, Admissions and Enrollment Management, Disability Support Services, TRIO, CPA, BIT/CARE team, Developmental Education, the Testing Center, Washington County Public High Schools, and outside social service agencies.

 

 

DUTIES A.  Oversees the registration for credit courses offered on and off campus with an emphasis on student friendly online/mobile registration.

1.  Communicates important registration deadlines with students using multiple communication platforms and produces the registration calendar in coordination with multiple offices for each term.

2.  Coordinates end of session reports related to student registration, including the Prerequisite reports, Prerequisite in Progress Agreements

3.  Coordinates with Academic Affairs and IT to improve the credit registration processes and address system errors.

4.  Work to improve Self-Service credit registration processes by working with Registration Assistants and the IT department.

 

 5.  Work with academic division office associates to check course set-ups in Datatel to guarantee smooth online registration.

B.  Provide supervision and support to the Registration Assistants.

1.  Monitor implementation of successful course registration procedures and ensure excellent customer service.

 

2.  Oversee schedule of Registration Assistants, covering the desk when needed during vacations, sick days, and if needed lunch coverage.

 

3.  Coordinate with Director of Advising, Registration and Student Support to complete annual performance evaluations of Registration Assistants.

C.  Provide data and technical support to the Registration and Student Support Office.

1.  Troubleshoot issues with Self-Service registration and repair Datatel errors.

2.  Repair degree audits and non-course issues in conjunction with the Registrar and Records Office.

3.  Analyze processes to increase automation.

D.  Troubleshoot change of major, multiple majors, catalog year and other degree audit errors in conjunction with the Registrar.

E.  Communicate important registration dates and deadlines to students, faculty and staff throughout each session of the three semester terms via the website, email and text message.

F.  Assist the Director of Advising, Registration and Student Support with monitoring and processing late adds, drops, withdraws, and overload requests. 

G.  Assist with Early College Registration as needed. *This may change in the future due to changes within the Early College Office.

H.  Support the office's use of ConexED through serving on committees designed to improve the user experience and provide troubleshooting for staff.

I.  Provide phone, email, text message and ConexED messaging support to students with registration difficulties.

J.  Assist students with course registration questions and with navigating Self-Service's registration functions. 

K.  Provide backup advising assistance during times of low staffing or busy registration periods.

 

L.  Serves the college, as requested, on special committees.

M.  Performs other duties as assigned.

Requirements

EDUCATION AND EXPERIENCE Bachelor's degree required, Master's degree preferred. Minimum five years o fice experience, including direct customer services, management and overall office administration. Preference will be given to candidates who have experience working with students in a higher education setting; knowledge and experience working with a student database system is essential (i.e. Datatel). Ability to develop relationships and maintain best practices for proactive and intrusive student success guidance.

SKILLS AND ABILITIES Excellent interpersonal, communication, organizational and planning skills. Attention to detail/proofreading; proficiency in Windows environment including Word and Excel. Ability to maintain student confidentiality and to work without direct supervision. Ability to work with a diverse student population and capacity to multitask and manage multiple roles and responsibilities required.
