We are currently seeking an experienced Office Administration Coordinator for our Harrisburg office. This position reports to the Office Manager and is responsible for providing a professional and pleasant atmosphere in the Reception area and to act as a concierge to give the highest level of customer service to clients and employees. This position will also support our legal practice assistants with occasional administrative tasks.

Essential Duties and Responsibilities: * Ensures professional client reception services by greeting clients and visitors, attending to their hospitality needs, communicating with staff and attorneys regarding their arrival, and monitoring emergent issues. * Answers all incoming phone calls, ensuring all calls are redirected accordingly. * Processes deliveries to the reception desk by contacting recipient parties, keeping logs of special requests, follow-up with clients as needed to ensure consistency in their support staff contacts with the Firm. * Ensures security procedures are followed by issuing temporary security cards according to procedural expectations and monitoring egress of personnel. * Schedules and coordinates conference/video calls, as needed. * Assists with office event planning logistics. * Assists with conference room meeting set ups and break downs, including catering orders. * Provides back up for any technology needs in conference rooms. * Assists Office Manager with building requests. * Provides back-up and overflow support to Practice Assistants with respect to typing, proofreading, formatting and editing correspondence, pleadings, memoranda, agreements and other legal documents under time-sensitive deadlines. * Responsible for other miscellaneous Practice Assistant and office duties, such as administrative check requests and expense reports. * Performs additional responsibilities as assigned.

Required Education/Experience:

  • High school diploma or equivalent.
  • At least 3+ years combined experience in customer-service, administrative support, or professional services role with prior experience in a law firm or other professional services office setting preferred.
  • Excellent interpersonal, communication and organizational skills.
  • Professional demeaner and excellent phone etiquette.
  • Operate independently as well as effectively within a team.
  • Possess strong organization skills with high attention to detail.
  • Ability to manage confidential information and sensitive situations with tact and discretion.
  • Typing ability of 50 wpm minimum.
  • Proficient in Microsoft Office Suite; Word, Excel, Outlook.
