Robert Half Project Administrator in Harrisburg, Pennsylvania

Description We are offering a contract to hire employment opportunity for a Project Administrator in Harrisburg, Pennsylvania. This role is essential to our operations, involving the organization and management of various projects, coordinating with technicians across different territories, and ensuring efficient communication with clients. The Project Administrator will also be responsible for data entry tasks, maintaining up-to-date job statuses, and tracking service parts orders.

Responsibilities:

• Coordinate schedules for technicians with diverse skill sets across multiple territories.

• Follow up on client requests through professional email or phone interactions promptly.

• Organize and participate in project meetings with customers and project technicians.

• Input job orders, agreements, recurring tasks, and assignments into our system.

• Monitor and update job statuses, order updates, system notes, and progress reports.

• Supervise technician requests for service parts, initiate part order requests to the purchasing department, and oversee part fulfillment.

• Prepare quotes for client service repair or project requests.

• Secure satisfactory payment approvals, purchase orders, credit cards, and signatures.

• Collect customer credit applications and account billing information for new accounts.

• Efficiently map routes in various territories for technician efficiency.

• Maintain open lines of communication with field personnel, sales reps, regional managers, and all Support Center staff.

• Collaborate with the schedule coordinator team and act as an alternate when needed.

• Provide support to internal teams and departments as required.

• Undertake special assignments as directed by the supervisor. Requirements

• Proven experience in customer service

• Proficiency in data entry tasks

• Ability to manage timelines effectively

• Advanced knowledge of Microsoft Excel

• Familiarity with Microsoft Outlook

• Strong organizational skills, particularly in file management

• Experience in scanning and other document management tasks

• Knowledge of shipping functions and logistics

• Excellent communication skills, both verbal and written
